Position: Compliance Coordinator
Reports to: Associate Head of School
Status: Part-Time, 12-month role
Job Summary:
We are seeking a Compliance Coordinator who will play a critical role in ensuring that the School adheres to regulatory and state requirements and internal policies, especially as they pertain to overnight school trips. This position involves monitoring compliance activities, conducting and providing support to departments in understanding and implementing compliance standards. In addition, the Compliance Coordinator will embrace Malvern’s mission and core values in all facets of performing the role.
Qualifications:
High School diploma or GED required. Associate or Bachelor's degree preferred.
At least 3+ years of administrative and customer service experience
Technical proficiency required, especially with database applications, Google Workspace (Docs, Calendar, Sheets, etc.), and Microsoft Office.
Essential Duties:
Performs day-to-day administrative tasks such as maintaining information files and processing paperwork.
Regularly reviews with Human Resources any organizational practices to ensure compliance with applicable laws, regulations, and internal policies
Safeguards confidential information and records
Serves as a point of contact for compliance inquiries from internal and external constituents, i.e. faculty/staff, parents, Rustic Pathway, Romero Center
Sets up and maintains paper and electronic filing systems for records, correspondence, and other material
Collaborates with various departments to develop and create permission and travel consent forms
Works with the Business Office to coordinate pricing for various trips
Responsible for reserving housing and travel accommodations, including both domestic and global trips
Will be the point person for any crisis management issues that may arise for any trips, working closely with the AHOS, HOS, and/or the St. Ambrose Team handling any issues that may arise. This responsibility might include coordinating communication, managing logistics, and ensuring the safety and well-being of travelers
Supports and participates in pre-departure meetings held with parents
Makes the most of all opportunities to continue developing as a professional; acts to keep self professionally competent.
Actively participates in various meetings, such as department, administration, school meetings, etc.
Builds and maintains a professional rapport with a broad audience: alumni, prospective students, parents, and all other staff.
Displays the highest ethical and professional behavior standards.
