The Advancement Associate joins a team of five professionals responsible for fundraising and alumnae/parent relations at Newton Country Day School of the Sacred Heart. This role supports the daily operations of the Advancement Office, plays a vital role in database management and gift processing, and manages event logistics.

A strong knowledge of data management software, i.e. Blackbaud, Windows, Google and Excel is preferred. Proficiency with social media platforms and innovative software products is also preferred.
Key Responsibilities
Provide comprehensive administrative assistance to five Advancement Office team members
Support the team, and in particular, the Chief Advancement Officer, by coordinating meetings and appointments; drafting, proofreading, and distributing internal and external communications; preparing presentation materials, reports, and briefing documents for board meetings and donor visits; and arranging local and regional travel logistics and itineraries.
Execute occasional in-house mailings for fundraising and relationship-building purposes.
Enter and process gifts, pledges, and planned giving transactions and track recurring gifts in a timely and accurate manner.
Generate and prepare acknowledgment letters and receipts for all gifts received; produce detailed transmittals to the finance office for gift reconciliation.
Perform address changes and data updates, ensuring data integrity and consistency.
Generate regular and ad-hoc reports; maintain a working knowledge of Raiser’s Edge, event, and website software platforms.
Support planning, logistics, and execution for advancement events, including annual occasions like Homecoming and Reunion, special donor gatherings, and alumnae and parent receptions on campus as well as local and regional events.
Manage guest lists, RSVPs, and attendance in the donor database; help with pre- and post-correspondence; print nametags and other event materials; prepare event briefings; coordinate with campus partners and outside vendors; provide on-site logistical support to enhance the guest experience.
Maintain inventory of office and event supplies, ordering items as needed.
Monitor and reconcile department budgets and expenses in collaboration with the Chief Advancement Officer; track and report on event expenses, ensuring adherence to budgets.
Other duties as assigned.
