The Advancement Services department is seeking a detail-oriented and service-focused Gift Services Specialist to manage all aspects of gift processing. This role requires maintaining the highest level of integrity and accuracy while handling gift-related tasks, including posting gift batches in Raiser's Edge, maintaining documentation, generating reports, reconciling revenue with Finance, and producing donor tax receipts and acknowledgment letters.
Core Responsibilities:
Gift Processing: Accurately process all types of gifts (checks, credit cards, securities, electronic funds transfers, matching gifts, payroll deductions, and pledges) in compliance with CASE and IRS standards. Ensure donor restrictions are noted, and adjustments are made promptly.
Donor Support: Address all donor inquiries related to gifts, tax receipts, and pledge balances with professionalism and courtesy.
Daily Operations: Coordinate and prioritize daily gift processing activities, including mail collection, documentation review and scanning, and maintenance of donor records and files.
Documentation Maintenance: Manage gift documentation and follow up with donors and staff to gather necessary information. Collaborate with Finance to provide required documentation for audits.
Reporting: Generate standard gift reports for Finance and the Advancement & Engagement departments.
Pledge Reminders: Execute the pledge reminder process to ensure timely follow-up with donors.
Acknowledgments: Produce donor tax receipts and personalized acknowledgment letters in a timely manner.
Data Entry: Perform timely updates to constituent records, including contact information, deceased status, and communication preferences, ensuring accuracy and adherence to privacy standards.
Procedural Development: Create and maintain procedural manuals and documentation for gift processing and data integrity.
Associate’s degree in a related field is required; a Bachelor’s degree is preferred.
Two or more years of relevant experience, preferably in a finance, accounting, or nonprofit setting.
Proficiency in Microsoft Excel; experience with Raiser's Edge and GiveCampus preferred.
Excellent organizational skills and meticulous attention to detail.
Strong interpersonal skills, demonstrating tact, patience, and courtesy.
Sound judgment and a commitment to confidentiality regarding donor information.
High level of integrity, honesty, and strong work ethic.
Capacity to manage multiple tasks and work under pressure, especially during peak periods (calendar and fiscal year-end).
Initiative and follow-through on tasks and responsibilities.
Enthusiasm for working in an independent school environment.
