POSITION SCOPE: The Receptionist/Administrative Associate provides administrative support to Echo Horizon School and our administration, faculty, and staff and is responsible for providing safe, efficient and supportive service and setting a positive environment to all who enter the school. The Receptionist/Administrative Associate must provide a high level of customer service and demonstrate outstanding professionalism. The individual must be willing and able to work collaboratively with the entire front office team to take initiative in supporting constituents, and to work on a wide variety of assigned projects.

ESSENTIAL DUTIES:
Receptionist:
Serve as the first point of contact for those entering and calling the school and thus set a professional and welcoming tone.
Prioritize the safety and security of our community by following all procedures and protocols with regards to buzzing people into the building and the sign in and sign out procedures for visitors and vendors.
As receptionist, support the Culver City police and the Culver City Fire Department as needed during emergencies
Serve as an important welcoming contact and communication for our prospective families as they engage in the Admissions search process
Maintain a professional atmosphere and organized front office area
Provide exceptional customer service and handle telephone calls warmly and efficiently
Greet and interact with all constituencies, including, parents, students, trustees, faculty and staff, in pleasant and helpful manner
Support students who seek assistance and who may need support with minor illness, sadness, need to call home, etc. and notify faculty, Director, and/or parents as appropriate
Sorts and prepares incoming and outgoing mail and packages
Administrative Associate
Support the Executive Assistant with the management of school records in Veracross
As a member of the Front Office team, support record keeping and transcripts for all students and families
Provide admissions administrative support as needed for major events and activities
Support the Director of Echo Center with scheduling and administrative and district tasks
Support the maintenance of the master school calendar in Veracross
Collaborate closely with our school nurse in the oversight of the Magnus Health database and maintain student medical records in accordance with privacy and confidentiality procedures, including a list of students receiving medications, dispensing medications as authorized by the children’s parents, and completing reports required by public health agencies
In the absence of the School Nurse, serve as a point person to students who come to the front office and need basic first aid for minor injuries and illnesses as needed
Support the management of field trip logistics for classroom, Athletics, and grade level trips.
Perform general office functions, such as data entry, correspondence, filing, making copies, faxing, email, and other tasks as directed by key administrators
Manage ordering, inventory, and budgets for classroom and office supplies
Manage postage and delivery vendors
Manage copier vendors
Assist with carpool, lunch, and recess duties
KNOWLEDGE, SKILLS, AND EDUCATION:
Bachelor’s degree preferred
Minimum of 3 years as a receptionist/administrative assistant
Comfortable working with and around children
Strong technology skills including proficiency with MS Office, and aptitude for learning new systems
Ability to work and communicate effectively and cohesively with faculty, staff, students, and parents
Ability to problem-solve and defuse conflicts in a professional manner.
Excellent written and verbal English communication skills
