Hopkins School, a 364 year-old independent school for 715 students in grades 7-12 located in New Haven, CT is seeking an Executive Assistant to the Head of School to begin at the start of the second semester (Jan. 22, 2025) or as soon as possible thereafter. A full-time, 12-month, exempt position reporting to the Head of School, the Executive Assistant plays a critical role within the school community, including daily interactions with the administrative team, trustees, faculty, staff, and parents. The position requires a high level of professionalism, diplomacy, patience, and confidentiality as well as the ability to handle multiple tasks at once with flexibility and agility. Occasional evening commitments and weekend hours required.
Key responsibilities include: *Providing extensive support to the Head of School, including: *Coordinating the Head’s daily schedule and yearly calendar -- advising on priorities, resolving conflicts, and ensuring optimal use of time. *Managing day-to-day business correspondence and providing input on important communications from the Head. *Providing strategic and logistical support and management of special projects, events, and institutional priorities identified by the Head of School. *Maintaining effective organization and archiving of digital and hard copy files, drawing on them to provide necessary background information for meetings and events. *Coordinating the logistics of Hopkins’ annual participatory budget process, facilitating authorization of expenditures that need the Head’s approval, and maintaining oversight of spending from the Head’s budgets, including timely submission of receipts from the Head’s business activities. *Serving as a receptionist for the office -- greeting guests, answering phones, and responding to questions; ensuring responsiveness, efficiency, and warmth. *Providing administrative support to the Committee of Trustees, including correspondence, scheduling, coordinating meeting logistics (dissemination of supporting materials, minute taking, archiving), and ensuring compliance with governance practices articulated in the Committee’s bylaws. *Providing coordination and support for the Administrative team – scheduling and planning meetings, facilitating projects, and coordinating workflows as needed. *Partnering with Business Office personnel to maintain school memberships, regulatory compliance, and filings, including with the CT State Department of Education, the New England Association of Schools and Colleges, and the National Association of Independent Schools.
Qualifications: *Commitment to the ideals of Hopkins’ mission. *Successful track record in office administration (experience as an Executive Assistant in a school preferred). *Superior organization, project management, and logistical skills, characterized by high attention to detail. *Well-developed interpersonal, written, and verbal communication skills. *Proficiency in managing multiple priorities strategically and under tight deadlines. *Self-reliance, dependability, flexibility, teamwork, integrity, and a commitment to confidentiality and to handling sensitive matters with diplomacy and professionalism. *Respect for the dignity and worth of each member of the community, and an ability to foster positive relationships with others. *Excellent research skills, coupled with an advanced understanding and ability to use computers and technology, including Google Workspace for Education and Microsoft Office applications Word, Excel, and PowerPoint. *Bachelor’s degree required.
Compensation: $78,000-$95,000 (between the median and 75th percentile benchmarks for this position), depending on experience. Benefits include 100% tuition remission, health and life insurance, and contribution to 403(b) retirement savings.
