Position Overview:
Reporting to the Director of Development & Community Engagement, the Assistant Director of Alumnae Relations will work to foster excellent alumnae relations that will strengthen St. Mary Academy - Bay View’s community to support the long-term health of the school. S/He will be responsible for co-creating meetings, events, and communications designed to engage with alumnae and other Bay View stakeholders. S/He will be expected to fundraise with a particular emphasis on relationship cultivation and management with alumnae donors. Responsible for planning the annual Decades Challenge, as well as working on class gifts, endowments, and planned giving for alumnae, with support from other team members.
The Assistant Director will be responsible for a minimum 25% fundraising goal total development goal.
Examples of Key Duties and Responsibilities:
Work in collaboration with all members of the Development & Community Engagement team to co-develop and execute an annual schedule of alumnae programs that meet strategic broad-based engagement and philanthropic goals and objectives, as determined by the department, school, and leadership;
Promote a culture of philanthropy and legacy giving within the school community, developing and managing activities that strengthen relationships with alumnae, parents/family members, and other prospects;
Update alumnae records and profiles in the database on a weekly basis;
Participate in all development activities including special events and other development and community engagement efforts;
Establish and build relationships with a wide range of alumnae and parents/family members locally, and regionally;
Raise awareness of Bay View’s work through showcasing and profiling successful alumnae stories on all platforms, in collaboration with the Communications team, and lead the Alumnae Council and participate with the Parent Council toward relationship building, engagement, and philanthropic goals;
Co-plan and execute on- and off-campus events of interest to alumnae and parents/family members across decades and geographic regions; with a specific focus on reconnecting with disengaged alumnae and other important community partners;
Work with Communications to prepare invitations, briefings, and other materials required to support the event or program and school leadership involvement;
Represent the school and its broad goals and mission at various local events and programs; including nights and weekends throughout the year, including summer months;
Coordinate and manage the overall execution of reunion events each year, attending all local alumnae events;
Collaborate with the Assistant Director of Development & Community Engagement Operations to assist with planning and logistics involving communications, facilities catering, class volunteers, committees, vendors and other service providers as needed;
Assist with other Development & Community Engagement initiatives as assigned by the Director; and
Track all efforts using the database system and prepare monthly reports for the Director.
Employment Standards:
Ability to operate and use a broad spectrum of tools and equipment skillfully and safely perform physical labor, such as bending, standing, walking, climbing, lifting, and carrying 50 lbs.+;
Follow oral and written instructions;
Maintain cooperative working relationships;
Hours are 40 hours per week, year-round, including some nights and weekends as necessary; and
The candidate will be required to pass a national background check with fingerprints.

Requirements:
Bachelor’s Degree preferred;
Demonstrable experience with alumnae relations and development preferred, experience managing a portfolio of alumnae and/or prospects with successful fundraising participation and outcomes;
Three to five years’ experience in event planning required, preferably in an educational or alumnae association setting with reunion work experience strongly preferred;
Exceptional relationship building skills with the ability to engage and motivate alumnae of all ages and backgrounds;
Excellent verbal and written communication skills including public speaking;
Excellent organizational skills and attention to detail;
Proficiency with Microsoft Office Suite is expected. Knowledge of additional software programs is preferred;
Preferred experience with CRM software, Blackbaud NXT if not already proficient;
Experience in using social media outlets professionally to engage constituents and generate interest within specific demographics preferred;
Ability to work independently in a fast-paced environment and also cooperatively as part of a team; and
Must be willing to travel and work regular evening and weekend hours as needed.
