Germantown Friends School seeks an Associate Director of Security and Operations to work with constituents throughout the GFS community in order to create a safe campus and predictable transportation system. The Associate Director reports directly to the Director of Security and Operations and will work closely with outside vendors and internal stakeholders to ensure the smooth operation of both security and transportation functions. This position’s hours are Monday through Friday, 12:00-8:00 p.m. with some weekends and later evenings for events.
Responsibilities
Assist with managing the daily operations of the security and transportation teams, particularly after the school day ends.
Ensure Athletics transportation needs are met, particularly after evening competitions.
In the absence of the Director (or when instructed), assume the responsibilities of the Director of Security and Operations.
Create and monitor weekly transportation schedules.
Ensure the security team is appropriately staffed 24 hours a day, seven days a week.
Collaborate closely with the contracted security provider.
Manage the van reservation program and the school’s approved driver list.
Become familiar with reservation requests, update van and bus reservation logs, ensure all bus requests are communicated to the appropriate vendor, and communicate the status of a reservation to the requestor.
Ensure all bus reservations are confirmed.
Ensure proper care of vehicles and equipment, including taking reports of deficiencies, maintaining a Vehicle Maintenance Log, executing repair orders, and retaining appropriate documentation.
Ensure all vans in the transportation fleet are in safe working order and contain the necessary equipment, e.g., gas card, proof of registration and insurance, first aid kit, fire extinguisher, snow/ice removal gear, washer fluid.
Ensure that State Inspections and maintenance (preventative and regular) records are kept for all vehicles. Ensure preventative maintenance like oil changes, tire rotation, and state inspections are scheduled appropriately.
Assist in managing student, staff, and faculty parking on campus in accordance with GFS policies.
Act as First Responder during emergencies and serve as a liaison between GFS and outside agencies such as law enforcement, fire, or EMS as necessary or in the absence of the Director of Security and Operations.
Ensure reports on accidents, incidents, suspicious activities, safety, fire hazards/alarms, and other safety and security-related situations are written by the security team accurately and in a timely manner.
Ensure all buildings and property are patrolled and secured by the security team.
Additional duties as assigned.
Requirements
Bachelor’s Degree
Minimum one-to-three years of supervisory experience
Proficient in Google Workspace
Adapt to and use changing technology
Work well in a collaborative environment
Excellent organizational skills and the ability to set priorities and multi-task in a fast-paced setting
Strong interpersonal, verbal, and written communication skills, including the ability to negotiate and resolve conflicts
Communicate effectively with individuals at all levels of the organization
Establish positive relationships and gain the trust and respect of others
Exercise considerable initiative and independent judgment
Experience in recognizing emergency/high-stress situations and effectively de-escalating/resolving
Ability to remain professional and calm during stressful situations and be able to treat sensitive/confidential information with discretion and tact
High attention to detail and ability to work independently with limited supervision
Strong problem-solving skills, critical and analytical thinking, good judgment with creative resolutions for positive outcomes
Successful completion and acceptable results of a background check
