The Operations Coordinator is responsible for overseeing, organizing, and coordinating the logistics and operations of the school, supporting all constituents. This role involves managing administrative processes in conjunction with various departments, and implementing policies and procedures to enhance the overall experience for students and staff. This position acts as a liaison among school staff, facilities staff, and school administration, ensuring that institutional goals are met by addressing any logistical or operational concerns. This position reports to the Director of Finance and Operations.

Support the Faculty, Staff, and Administration: Assist in organizing and facilitating day-to-day operations, ensuring a smooth and effective educational environment for both staff and students as the daily in-person school administrator on-site.
Coordinate Meetings and Schedules: Manage and coordinate school calendars and special schedules related to programming and testing, while optimizing time management and ensuring all key stakeholders are aligned and informed.
Collaborate with the facilities department on campus maintenance and building projects; work with external vendors to provide services not covered by internal staff.
Coordinate transportation for off-campus student events in collaboration with the athletics administration, classroom teachers, and Program Heads.
Ensure Resource Availability: Monitor and ensure the availability of necessary supplies for smooth daily operations, facilitating an uninterrupted learning experience for students and staff.
Procurement: Coordinate with the Receptionist to ensure that supply orders are created and executed in an efficient manner.
Facilitate Events: Assist with organizing and executing events such as academic special programs, tours, Open Houses, Back to School Nights, student field trips, parent education events, and high school visits, providing a welcoming and inspiring experience for prospective students and their families.
Support after-school program, scheduling, and supply procurement in collaboration with the Enrichment and LEAP Coordinators.
Liaise with local government service agencies, including Fire, Police, Water and Power, and other entities.
Serve as a liaison with the FUMC, maintaining shared calendars and facilitating mutual events.
Perform other tasks as assigned, contributing to the overall success of the school’s operations and student experience.
KNOWLEDGE, SKILLS, ABILITIES:
Knowledge and understanding of relevant laws, regulations, policies, and procedures (becoming familiar with these as soon as possible within the course of employment).
Ability to appreciate and ultimately contribute to the unique aspects of the Wesley culture.
Ability to understand, analyze, and explain mathematical rules and equations used for data analysis.
Ability to prioritize work, excellent organizational skills, and initiative to improve processes.
Ability to handle multiple competing assignments and deadlines while being flexible and adaptable.
Ability to work in team environments and with multiple groups of personnel.
Self-sufficient, resourceful, and committed to providing excellent customer service.
Salary Range: $70,000 to $90,000 depending on experience

Working Environment: Sitting or standing for prolonged periods of time. Light to moderate lifting (up to 30 pounds). Specific vision abilities required by this job include close vision, ability to adjust focus, and adequate hearing. The noise level in the work environment is usually moderate. The ability to speak clearly and coherently is also required. Reaching, kneeling, pulling, pushing, bending, walking, running, jumping, writing, and keyboarding must be possible.

MINIMUM QUALIFICATIONS:
High School Diploma or General Education Diploma Degree is required.
Experience in project coordination, organizing, and prioritizing is a plus.
Strong organizational, communication, and leadership skills.
Proficiency in educational software and administrative systems, including Google Suite, MS Office (word, Excel, Outlook). Experience with Veracross is a plus.
Ability to perform job duties with minimal supervision, dependability, high quality, and quantity required.
Ability to drive moderate distances in order to procure supplies.
