Trinity School, an all-gender, K-12 institution located on the Upper West Side of Manhattan, seeks an Administrative Assistant to the Office of Equity and Inclusion starting July 1, 2025. This person will offer direct administrative support to the Director and Assistant Directors of Equity and Inclusion, and provide relevant clerical assistance to the Equity and Inclusion Team.
This hire will be an essential member of the Equity and Inclusion Team who will serve as a consistent presence in the life of the school, partnering with colleagues across divisions and with multiple constituents as needed. The Administrative Assistant to the Office of Equity and Inclusion will report to the Director of Equity and Inclusion.
Responsibilities will include, but are not limited to the following:
Provide administrative support to the Director of Equity and Inclusion including clerical support, appointment and meeting scheduling, calendar management with efficient attention to priorities and time, meeting confirmation including occasional attendance, and note taking, as needed;
Provide administrative support to the Assistant Directors and Equity and Inclusion team as requested;
Manage the Office of Equity and Inclusion Program calendar, including preparing all necessary documentation for the annual calendar and scheduling meeting;
Manage department shared Google Drive, as needed or requested;
Manage co-curricular program and professional development database of events, and communicate about relevant opportunities as they arise;
Coordinate conference, retreat, and travel logistics for relevant, approved programming including outreach, paperwork collection, hotel bookings, meals and other necessary details;
Coordinate event details of student, employee, and parent equity and inclusion programming;
Coordinate meetings including room scheduling, set up, sending announcements and preparing agendas;
Collaborate with the Director and Assistant Directors on content for school-wide communications, as well as the internal and external website;
Collaborate with the Advancement and Alumni Relations offices to plan and provide support for board of trustee and other constituency meetings focused on equity and inclusion;
Monitor department budget accounts and spending, process accounting and reimbursement paperwork; prepare monthly expense reports for the Director of Equity and Inclusion to ensure budget management;
Assist with logistics, invitations, and confirmations for Prep for Prep events that partner with the Office;
Assist with logistics, invitations, and confirmations for Employee Affinity Group programming;
Order and maintain inventory of department and office supplies;
Other duties as assigned by the Director or Assistant Directors.
A strong candidate will possess:
Proficiency and confidence in Google Suite tools, and Canva;
Experience working with budgets and financial management;
Organizational and office management experience;
