Annunciation Orthodox School (AOS) seeks a detail-oriented, flexible, and collaborative individual to serve as an Administrative Assistant to the Director of Extended Day. The person in this role will play a vital role in the community by supporting the daily operations of the Extended Day Department through parent communications, scheduling, and a myriad of other responsibilities. Strong candidates will not only be organized, responsive, professional, and personable but will also be able to multi-task and easily shift priorities depending on the demands of the day or season.

Work Schedule:Monday-Friday, 9:30 am-6:00 pm
Responsibilities:
Promote the school’s mission, making it the center of all decisions and actions
Provide consistent, confidential, and professional support to the Extended Day Department during both the school year and summer; Extended Day includes morning care, club activities, after-school programming and Camp AOS, a comprehensive summer camp
Act as the primary contact for all Extended Day parent communications and convey information as necessary to faculty and staff
Assist in the development of communications about Extended Day programs to families
Manage website and app content updates in collaboration with the Communications Department
Update and maintain registration and payment systems for Extended Day programs
Act as the receptionist at the front desk daily from 4:00-6:00 pm during the school year and on Fridays during the summer program hours
Collaborate with the Director and Assistant Director of Extended Day, Program Coordinators, and Communications Associate to promote and organize all activities, providing assistance when needed
Assist in the hiring process, development, and training of staff employed in the program
Assist in ongoing training and mentoring to Program Coordinators and Communications Associate, assisting with administrative tasks and encouraging leadership among staff
Assist in processing HR background checks for all vendor instructors and outside professionals
Establish strong, meaningful relationships with members of the internal and external community
Perform various additional duties as assigned by the Director of Extended Day
Qualifications:
Bachelor’s Degree
Experience in administrative support, customer service, or program coordination, preferably in an educational or nonprofit setting
Outstanding interpersonal skills and a heart for service with families, students, and community engagement
Dedication to a high level of confidentiality and professionalism
Exceptional written and verbal communication skills; ability to engage with constituents ranging in age from preschoolers to adults and as diverse as students, parents, faculty, staff and outside vendors
Excellent organizational skills with the ability to manage multiple tasks and prioritize effectively
Technology proficiency: experience with database management, registration/payment systems, and knowledge of Google Suite
Familiarity with creative content development for websites and apps is preferred
Experience working collaboratively on a goal-oriented team
Ability to excel in a fast-paced environment while maintaining a professional and positive attitude
