St. Andrew’s seeks a full-time director to lead and support a busy school boarding school leadership office. Eligible for generous benefits and competitive salary. Reporting directly to the head of school, the director supports strategy by prioritizing time and resources and providing executive support to the head of school. She or he serves as the primary point of contact to the head of school for internal and external constituencies. The director also serves as the head’s liaison to the school’s board of trustees and senior leadership; organizes and coordinates all head of school activities; and manages special projects from time to time. The ideal candidate will: enjoy working within a small, mission- and data-driven educational community; have excellent judgment; anticipate and resolve challenges; possess exceptional written and verbal communication, administrative, and organizational skills; be able to juggle competing priorities under pressure. Candidates must demonstrate their ability to work independently to handle a variety of activities and confidential matters with discretion. They must have the flexibility to work when required, including all major school events and trustee weekends.
Job Responsibilities:
Board of Trustees Management
Drive planning and support for Board of Trustees meetings, including but not limited to:
Serve as liaison between head of school’s office and board members; facilitate communication, plan events, distribute information, draft agendas, schedules and organize minutes;
Plan and schedule board of trustees’ meetings with board core team, maintaining board prep checklists, preparation schedules, and timelines;
Administrator of web-based board meeting and document management application;
Publish board meeting books by gathering information from committee liaisons; preparing and editing materials; distributing electronically through board management application;
Maintain bylaws, policies, and permanent records of the minutes;
Manage meeting arrangements including all technology, food and beverage, and space reservations.
Schedule Management / Logistical Support
Take ownership of head of school office long-range and short-range planning and travel, ensuring time is spent on highest strategic priorities. Organize and maintain schedules, calendars, and appointments including detailed arrangements for travel, meetings and events, preparing agendas, and supporting materials; making meeting space arrangements and coordinating resources; and follow-up items as directed.
Make all travel arrangements and create itineraries for head of school travel. Lead liaison with advancement team to drive head of school time management to highest priorities, coordinate joint travel plans and ensure briefings and schedules arrive in a timely manner.
Complete monthly credit card reconciliations and lead office’s budget planning.
Oversee functions and operations of the head of school house, coordinating with events and facilities team.
Office Leadership
Oversee correspondence, filing, phone reception, and general office functions of the Head of School’s Office.
Supervise Administrative Assistant to Associate Head of School, Dean of Faculty and Athletic Director.
Occasionally support or enable support for other leadership team members with scheduling and correspondence. Cross-train to cover vacations and absences. Provide guidance to support staff across the school on correspondence and email conventions and other style guidelines. Provide example and leadership for administrative support across the school community.
Manage policies and procedures and provide insight on improving efficiency and policies on an ongoing basis.
Maintain confidentiality and a professional and welcoming atmosphere in the Head of School’s Office.
Participate in and lead special initiatives from time to time as needed on behalf of Head of School.
Gather, examine and interpret data to complete annual boarding school surveys in coordination with the Business Office.
Skills and experience:
At least five years’ experience as a chief of staff, operations manager, executive assistant or in a comparable position. Experience at a school or university is a plus.
Proven ability to multitask and prioritize changing directives.
Expert user of Google suite and Microsoft Office applications.
Strong written and verbal communication skills. Must be an expert copy editor and proofreader with exceptional pattern recognition, spelling, grammar, and style skills.
Excellent references regarding effectiveness, professionalism, and discretion.
Bachelor’s degree or equivalent.
