The Speyer Legacy School seeks a full-time Advancement Services Manager to support the daily operations of the Advancement Office. The Advancement Services Manager’s primary responsibilities will be to provide backend support to the Advancement Office’s operations including gift processing and generating reports, special projects and events, stewardship processes, and prospect research. This individual will provide leadership and direction for gift administration, stewardship, research and prospect/donor management, as well as reporting and systems, for the department.
The candidate must be detail-oriented, self-motivated, analytical, able to manage multiple projects under deadlines, and organized, while being mindful of the importance of building meaningful relationships with the school’s various constituencies. This individual is responsible for ensuring high standards of quality, consistency, and accuracy across all advancement records and reports.
The ideal candidate will have experience working in database management, data analytics, development, and/or project management. Experience in independent schools and/or non-profits is a plus.
Duties & Responsibilities
General
Manage all data systems that serve the Advancement Office including but not limited to: gift processing & management, stewardship & donor relations, business office partnerships & audit process, events invitation & tracking, and technology systems operations.
Serve as the primary liaison between other Departments (Technology, Business Office, and Admissions) to ensure ongoing communications and smooth interface between Veracross and other school data systems and third-party platforms.
Other duties as assigned.
Gift Entry and Data Management
Support overall management of Veracross donor database including updating constituent information, creating new records, and data cleanup.
Record all incoming donations and pledges in Veracross, the school’s database; ensure database records are accurate.
Provide required deposit forms to the Business Office for all gifts and pledges, and assist in monthly and annual reconciliations.
Prepare regular tracking reports to share with the Board of Trustees.
Track Advancement data metrics.
Manage matching gifts with donors and corporations.
Events, Special Projects, and Stewardship
Assist in the execution of Speyer’s Annual Gala including but not limited to coordinating with vendors, managing Gala website, assisting with event logistics, and working at the event.
Enter and track event registration.
Prepare and send all gift acknowledgment letters to donors.
Prospect Research
Conduct individual donor prospect and foundation research and gather information including their philanthropic interests, giving capacity, background, etc., using the school’s wealth screening software, iWave.
Develop efficient ways to track prospective donors.
Communications
Create and pull address lists for donor communications from Veracross.
Assist with the creation of donor reports and other printed materials.
Compose outgoing department emails to internal and external constituents using Veracross system.
Qualifications & Skills
Bachelor’s degree required.
At least two to three years of data management experience required (Veracross experience a plus).
Ability to multitask in a fast-paced environment.
High level of initiative, proven ability to work independently, and strong time-management skills.
Demonstrated ability to handle multiple projects simultaneously and meet deadlines.
Must possess strong attention to detail.
Experience with Excel and/or Google Sheets required.
High level of organization and ability to work collaboratively and independently.
Ability to maintain integrity and professionalism at all times, including handling highly confidential information.
Flexibility to work occasional morning and evening events.
Must be capable of lifting and carrying items up to 40 pounds.
Candidates must be legally authorized to work in the United States.
Salary Range
The annual salary range for this full-time position is $??85,000 - $100,000 commensurate with experience. This is an in-person position with the opportunity to work remotely once per week depending on the needs of the Advancement Office.
