Position Summary
The Athletics Coordinator is responsible for assisting in the overall execution of the middle school athletics program, fostering student engagement and participation. This role involves organizing and executing athletics events, while addressing the unique needs of coaches and athletes. The Athletics Coordinator will also collaborate closely with coaches to ensure effective coordination and logistics. This position requires evening and weekend availability to support athletics events.
Essential Functions:
Athletics
Disseminate uniforms and equipment for practices and games/matches.
Assist the Dean of Athletics in the coordination of facility set-up for home games, matches, and meets.
Assist and support the Dean of Athletics with student-athlete sign-ups, team rosters, and National Sports ID registration.
Schedule practices and upload schedules to the student information system.
Serve as a scorekeeper or event manager as needed.
Manage the setup of VEO for livestreaming to engage community members.
Attend sporting events to serve as site director and liaison for Dawson, supporting student-athletes, coaches, and families.
Serve as the main point of contact for officials, opposing teams, and scorekeepers on game days.
Keep an inventory of equipment and apparel.
Collect requirements for student-athletes, including but not limited to sports physicals, concussion policies, and National Sports ID registration when applicable.
Assist with the onboarding of coaches.
Track and manage athletics purchase orders to ensure timely fulfillment and budget adherence.
Promote community engagement initiatives to enhance the visibility and success of the School's athletics programs.
Assist with the recruitment, registration, and eligibility processes for student-athletes.
Enter game day information into ScoreVision for accurate event display.
Collaborate with the business office and families to resolve outstanding uniforms post-season.
Assist the Dean of Athletics in managing the athletics email inbox, ensuring timely responses and efficient communication with coaches, athletes, and families.
Learn and manage the ScoreVision platform to efficiently handle live scoring, stats tracking, and game presentation for athletics events, ensuring smooth operations and a high-quality experience for athletes, coaches, and spectators.
Serve as a liaison for the Dawson Athletics Department at sporting events, managing logistics, coordinating with staff, and ensuring seamless communication between athletes, coaches, and families for a smooth event experience.
Marketing and Communications
Collaborate with the Director of Admissions and Communications and Director of Marketing on athletic-related announcements and family communication, while strategizing to create a plan that builds excitement for Dawson athletics and develops timelines for rolling out content for specific teams.
Gather game/match recaps and highlights from coaches for promotional purposes within 24 hours.
Collaborate with the Marketing team and coaching staff to plan and execute media days for each sport.
Collect and curate high-quality content for highlight videos and social media campaigns.
Coordinate end-of-the-season celebrations with coaches.
Attend weekly meetings with the Marketing and Communications teams to ensure timely and accurate athletics information is shared with the Dawson community through the Bears’ Bulletin, Dawson's weekly newsletter.
School Program
Execute and coordinate athletic events such as "Bear Nights" to promote team spirit and community involvement.
Plan and coordinate, alongside the Dean of Athletics, 8th-grade nights where families can attend, faculty, and our 8th-grade athletes can be honored with a special ceremony.
Qualifications
Proven experience in marketing or communications with emphasis on digital media, promotion of a program, and cultivation of brand awareness
Deep commitment to Dawson’s educational and athletics philosophies, Mission, Vision, Core Values, and Diversity Statement
Ability and willingness to work evenings and weekends as required
Proven ability to effectively manage multiple tasks with minimal supervision and work in an environment subject to frequent interruptions

Ability to multitask and read/edit content for accuracy and details

Education & Experience
Bachelor’s or Associate's degree
Preferred two to three years of experience in a school, athletics department, playing, coaching or camp setting
