Job Summary: The Administrative Receptionist is responsible for answering calls into the school’s main phone number and greeting all visitors to the campus. As the first point of contact for guests, this is an important role in making visitors comfortable and setting the tone for what people can expect when visiting the campus for the first time.
Maintaining accurate student attendance records and processing tardies, early dismissal and verifying absences are part of the primary responsibilities for this position. There are also multiple ancillary duties that are assigned to the Receptionist on an as needed basis.
Duties and Responsibilities:
Primary:
Answering the school's primary phone number. Recording and redirecting messages left on this number. Maintaining the greeting(s) used for the school’s primary voicemail.
Greeting all visitors to the campus. Notifying faculty/staff members of guest arrivals. Issuing appropriate lanyards, badges, and/or ID certificates. Maintaining the school’s visitor check-in system (VisitU).
Maintain:
Main conference room use calendar.
School’s Carpool Directory and update as needed.
Staff & faculty directory and update as needed.
Mailroom box assignments and labels, and place USPS mail daily into mailboxes.
Information on School Marquee, as needed.
Attendance:
Pick up messages from Attendance Line
Read Attendance emails
Enter daily tardy slips in FACTS-SIS
Give students Off Campus Permits
Enter Pre Planned Absences
Enter early dismissals in FACTS
Enter absences in FACTS
Enter all early dismissals for sports in FACTS
Call parents for absent students with no call or email
Enter attendance for Substitutes
Routine Ancillary Duties:
Create and print labels, and assist with mailings, when requested. Assist with sending faxes when requested, and placing received communications into appropriate mailboxes.
Assist with proofreading various campus communications, ex: The Gear, as requested.
Assist in the notifications related to Parent Service Hours.
Assist the Principal in the creation of annual graduating senior recognition activities (ex: lawn signs, photo slideshows, etc.)
Provide general assistance to the principal, as work schedule allows.
Assist Health office, Admissions Department, Finance Office as needed.
Skills:
Able to operate a variety of office equipment, including photocopier, fax and personal computer.
Should be able to type approximately 40 w.p.m. and be comfortable with current PC operating systems, and possess an Intermediate knowledge of word processing and spreadsheet software.
Ability to work with confidential information.
