ATHLETICS PHILOSOPHY: Convent of the Sacred Heart’s athletics philosophy centers on using sports to teach life lessons, fostering both individual growth and team success in the pursuit of excellence. POSITION SUMMARY: The Associate Director of Athletics oversees the daily operations of the school’s interscholastic athletics program, which includes 35 teams across 13 sports in grades 5-12. This role is responsible for sustaining and enhancing all aspects of the program, with a strong emphasis on coach recruitment, development, and retention. Key responsibilities include managing budgets, coordinating schedules, overseeing facilities, ensuring compliance with regulations, and leading internal and external communications. Additionally, this role fosters a positive and inclusive athletic culture, supports student-athlete well-being, and strengthens community engagement to foster a culture of excellence in athletics.
This is a full-time, 12-month, exempt position reporting to the Head of Athletics & Wellness.
KEY RESPONSIBILITIES:
Coach Development & Support
Partner with the Head of Athletics & Wellness to deliver a clear vision of athletic excellence centered on effective coach recruitment and development
Lead the hiring, onboarding, and support of coaching staff for all athletic teams (grades 5-12)
Deliver a structured mentoring and evaluation system to enhance coaching quality and retention
Facilitate player evaluations, goal-setting, and post-season meetings with coaches to maintain accountability and consistency
Collaborate to provide ongoing professional development opportunities for coaches
Athletic Operations & Scheduling
Develop and manage the master schedule for practices and competitions across all teams
Oversee transportation logistics
Manage outside facility rentals and field permits for athletics
Coordinate with officials and assignors to ensure compliance with league regulations
Organize and oversee game-day operations and athletic events
Communication & Community Engagement
Manage athletics social media accounts to highlight programs and achievements
Maintain up-to-date and accurate athletic department pages on the school website in collaboration with the Communications team
Communicate effectively with students, parents, coaches, administrators, and staff regarding athletic events and initiatives
Develop strategies to increase school spirit and attendance at athletic events
Represent the athletics program at events, ensuring a positive and supportive fan experience
Build relationships with club program directors and middle school admissions teams to strengthen student-athlete pathways
Program Development & Student-Athlete Experience
Support the Mission, Goals and Criteria of Sacred Heart and apply our aligned core values system to all athletic teams
Oversee video and statistical analysis operations for varsity teams, ensuring consistent use for performance enhancement
Reform the Student-Athlete Leadership/Advisory Council with clear goals and initiatives to enhance its impact
Strengthen middle school and sub-varsity programs by integrating them into the overall athletics vision
Foster a positive and inclusive athletic environment
Collaborate with faculty, staff, and families to support student-athlete well-being, academic success, and athletic development
Administration & Logistics
Organize and oversee student-athlete registration for all teams
Maintain an up-to-date athletics handbook that outlines policies and procedures, ensuring they are applied consistently across the program
Adhere to business office policies related to hiring, purchasing, contracts and financial procedures
Ensure compliance with all relevant league and state athletic policies and regulations.
Manage the athletics budget, ensuring fiscal responsibility
Maintain and update inventory of equipment and uniforms as necessary
Supervise the athletic trainer and collaborate on injury prevention, rehabilitation, and sports performance initiatives
Additional Responsibilities
Perform other tasks as assigned by the Head of Athletics & Wellness
This position will require evening work and some weekend work may be required to support athletic events and programs
Experience in athletic administration or a similar leadership role
Prior experience working in a K-12 educational setting
Proven ability to manage and develop coaches within an athletic department
