The Downtown School Data and Operations Manager is an educational leader and strategic thinker who ensures organizational efficiency and effectiveness. This position will report to the head of school. The ideal candidate is a “people person” with a sense of humor; detail orientation, and the ability to juggle multiple priorities. This is a full-time role starting August 1, 2025.
Responsibilities The Data and Operations Manager is involved in many aspects of the operations of the school. These include, but are not limited to: Registrar:
Track attendance and daily sign-ins and follow up with families as needed
Track and maintain student forms and data in our student information system (SIS), Blackbaud (The Hub)
Print ID cards for students and faculty/staff
Coordinate the books and supplies lists for families
Respond to requests for official transcripts, as needed
Development:
Support the planning process for our annual fundraiser for financial aid, Party with a Purpose
Track donations for the Annual Fund and send acknowledgment letters to donors for tax purposes
Financial Management:
Manage day-to-day processing of accounts payable and receivables, including check requests, reimbursements, clubs and activities budget
Coordinate coverage for faculty/staff when they have sick time or personal days
Liaise with Lakeside School’s business office to track time sheets, attendance, and payroll for employees
Admissions and Financial Aid:
Support the Director of Enrollment Management, as needed
Process application materials in the admission database (Ravenna)
Respond to basic admissions questions via phone or email
Order books and supplies for students who receive financial aid
Coordinate with new and returning families on applying for financial aid for the 2025-26 school year
Office Manager/Special Projects:
Supervision of the Commons
Manage laptop and charger check-in and out
Order supplies
Support City-as-Lab logistics
Graduation event planning
Support for Head of School:
Manage schedule, as needed.
Contribute to short- and long-term planning and strategy
Take notes at Advisory Board meetings
This person will be an advisor for a group of 10 - 14 students. They will engage in the full life of the school by doing things like chaperoning dances, attending weekly team meetings, and open house events.
Qualifications/Experience
A Bachelor’s degree
A strong comfort with technology and ability to navigate various databases.
Demonstrated organization, written and verbal communication skills.
Ability to manage multiple priorities
A growth mindset, sense of humor, positive attitude and deep knowledge and respect for teenage brains.
Demonstrated cultural awareness, including knowledge of themselves and the cultural lenses they bring to interactions. The candidate will understand different perspectives; interact respectfully with cultures other than their own; and cultivate meaningful relationships with people that have different cultural frameworks.
Satisfactory completion of three separate background checks
