The Brearley School, an independent girls’ school serving over 770 students K-12, welcomes candidates for an Assistant to the Head of Upper School Student Life, starting on August 18, 2025.
The Assistant to the Head of Upper School Student Life, a full-time 12-month position, supports the Head of Upper School Student Life in her oversight of the Upper School and manages the daily life of the Upper School Office.

Daily tasks
Acting as the representative of the Upper School Office and greeting visitors, answering phone calls, and responding to emails pertaining to Upper School life
Coordination of the Head of Upper School Student Life’s daily schedule, with an eye to Upper School priorities, schedules, special events and the whole school calendar.
Work with the Registrar, the Administrative Data & Digital Content Coordinator and the Academic Dean to create and maintain accurate class rosters
Monitor daily attendance from Grade Heads, advisors and classroom teachers through Blackbaud and follow up with students and families as needed
Oversee budget codes and help place special orders for relevant Upper School programs
Update the whole school calendar with Upper School events, contributing to the all-school newsletter (Brearley-Bytes) and providing weekly updates to faculty and families about major events, field trips and other updates to the academic calendar
Event and Project Management
Coordinate and schedule Class IX conferences, Advisor conferences, grade-level meetings, as well as monthly advisor meetings and other Upper School Student Life events
Coordinate, with affiliated programs, year abroad opportunities for students in Class XI, including scheduling program visits, managing student applications and communicating with families
In coordination with the Head of Upper School Student Life, Grade Heads, Health Office and faculty, plan and organize Upper School events— including making facilities arrangements, site and transportation reservations, ordering materials, coordinating with food service, collecting and collating medical information and supplies, and hosting online meetings
On occasion, chaperone day and overnight trips
Records management
Use Blackbaud to generate documents, reports, spreadsheets and other student data as needed
Work with the Head of Upper School Student Life and the Assistant Head of Upper School Student Life to draft and edit various communications from sensitive and confidential matters to event and policy reminders
Work with the technology team to update and maintain accurate email distribution lists
Manage students' files including, communicating with families, updating files with documents (leaves, disciplinary letters) and working with the Registrar and with the College Office to keep everyone updated on student files
Qualifications
Exacting attention to detail and the ability to goal set, prioritize and manage multiple priorities simultaneously and effectively
Excellent written and oral communication skills
Ability to maintain confidentiality in all matters and engage with discretion and warmth
Ability to work effectively independently and on teams
Experience in both administrative assistance and office management
Expertise with Microsoft Office (Word, PowerPoint, Excel), Google Suite (Gmail, Google Docs, Google Sheets, Google Slides, Google Meet), Zoom and Calendly and a willingness to learn new technology
Proficiency with Blackbaud or similar platforms desired

Salary
In 2025-2026, the total salary for this position ranges from $70,000 to $90,000, depending on years of full-time relevant experience.
