The Recruitment & Enrollment Assistant supports the Director of Recruitment & Enrollment in managing the full lifecycle of the student admissions process—from initial inquiry through enrollment and transition to the school community. This role combines administrative support, event coordination, database management, and front-line communication with prospective students and families. The ideal candidate is detail-oriented, welcoming, and aligned with the mission and values of St. Teresa’s Academy.

|Responsibilities|
Admissions & Recruitment Support
Assist the Director in managing the recruitment process for incoming 8th graders and transfer students.
Collaborate with the Director on initiatives to promote equity and inclusion.
Support efforts to expand recruitment to underrepresented communities.
Coordinate and execute all aspects of the admissions process from inquiry through enrollment.
Track and respond to inquiries with appropriate mailings, emails, and follow-up calls.
Assist in preparing admissions materials, including inquiry packets, tour materials, and decision letters.
Provide high-touch communication and support to prospective families throughout the admissions process.
Event & Program Coordination
Plan and coordinate all prospective student events including:
Shadow Days - ongoing September - February
Open House
Future Star Events - built around home athletic evening events in spring & summer
Admissions Informational Nights
Registration Night
Manage logistics for the student shadow program (eighth-grade campus visits), including scheduling, communication, and ambassador coordination.
Represent the Academy at on- and off-campus events such as open houses, education fairs, feeder school visits, and summer outreach events.
Database & Records Management
Maintain and update the admissions database (e.g., Veracross) to ensure accurate and timely applicant records.
Schedule and track student visits, applications, and event participation.
Generate reports and assist in data analysis to support admissions goals and planning.
Collaboration & Communication
Communicate effectively via phone, email, and in person with prospective families, current students, faculty, and school leadership.
Partner with faculty and staff to support new student onboarding and smooth transitions.
Coordinate with the marketing team to ensure recruitment materials are current and compelling.
|Qualifications|
Associate’s or Bachelor’s degree preferred.
2+ years of experience in administrative support or education preferred.
Strong communication and organizational skills.
Experience working with databases and comfort learning new systems (Veracross experience a plus).
Ability to multitask in a fast-paced environment with accuracy and attention to detail.
Commitment to fostering a diverse, inclusive school environment.
Proficiency in Microsoft Office and Google Workspace.
