William Penn Charter School is a Quaker, all gender, pre-K-12 independent day school in the East Falls neighborhood of Philadelphia. Established in 1689 by William Penn and members of the Religious Society of Friends, Penn Charter is a community guided by Quaker testimonies and the central belief that there is "that of God" in every person. As a part of the Inter-Academic League, the Penn Charter Quakers have won countless championships and many graduates go on to play their sport in college, and some professionally. At Penn Charter, the athletics program is seen as an integral part of the educational program and athletic teams strive to provide quality instruction to student-athletes and to develop the core values that stem from our beliefs and practices as a Quaker institution.
Position Summary: The Athletic Operations Assistant provides support to the Athletic Directors in all aspects of the program administration, including but not limited to scheduling, transportation, student data, awards, record keeping, and certificates. Working closely with the Athletic Directors, the Athletic Operations Assistant prepares correspondence and communicates with all constituents.This is a 12-month position with ample time off and flexible summer hours. Typical work day hours are 10:00 am-6:00 pm (later evenings and weekend hours are possible). Essential Functions:
Assists the Athletic Directors in supporting the School's athletic programs, including implementing policies and procedures relating to the athletic programs.
Assists the Athletic Directors with the development of interscholastic athletic schedules and officials schedules for all contests.
Assists the Athletic Directors in the coordination of transportation for all athletic contests.
Assists the Athletic Directors in coordination of support personnel for all athletic contests, including game management, security, athletic trainers and emergency personnel and procedures.
Serves as an athletic administrator for all athletic programs and events and support with game day operations.
Assists with the planning and execution of meetings, award ceremonies and other departmental events.
Monitors and ensures adherence to the Athletic Code of Conduct.
In collaboration with the Communications Department, creates materials to publicize athletic and sporting events, both in printed and digital formats, to enhance awareness of the school's athletic programs within the community.
Manages correspondence with media sources for the purpose of providing information regarding schedules, postponements or cancellations, sporting event statistics, records, and other relevant information.
Assists with managing the athletics website and social media accounts.
Maintains records as required and necessary to ensure proper documentation of athletic program activities, events, participation, and related information to comply with school policies and applicable laws and regulations.
Other duties as assigned by the Athletic Director or their designee

Ability to use standard office equipment such as personal computers, printer, copier and fax machines, calculator and telephone.
Proficient use of computer software applications (e.g., Google Tools, Word, Excel, PowerPoint).
Knowledge of athletics, athletic programs, and physical fitness.
Knowledge of applicable league, federal and state laws and regulations regarding school athletic programs, safety and health, and other areas under responsibility.
Knowledge and familiarity with social media platforms.

Ability to organize multiple tasks and conflicting time constraints.
Ability to engage in self-evaluation with regard to leadership, performance and professional growth.
Ability to establish and maintain cooperative working relationships with internal and external members of the Penn Charter community.
Physical Demands:
Ability and willingness to work in unpredictable weather conditions.
Ability to lift at least 50 pounds.
Ability to walk, stand, or kneel for extended periods of time.

Required Qualifications:
Bachelor's degree in sports management, recreation, physical education, or closely related area.
Motor Vehicle Operator's License to drive Penn Charter vehicles.
A minimum of 3-5 years of closely related experience.
