The Advancement Coordinator joins a team of five professionals responsible for fundraising and alumnae/parent relations at Newton Country Day School of the Sacred Heart. This role supports the daily operations of the Advancement Office, plays a vital role in database management and gift processing, and manages event logistics.
Position Requirements
A Bachelor’s degree and two or more years of related experience and/or training; strong verbal and written communication skills; strong interpersonal and organizational skills; attention to detail; ability to establish priorities and manage multiple projects; demonstrate initiative, set objectives and achieve stated goals; outgoing with a positive personality; maintain confidentiality; and willing to work some early mornings/evenings and occasional weekends. The candidate will have a passion for education and the mission of Newton Country Day School.
A strong knowledge of data management software, i.e. Blackbaud, Windows, Google and Excel is preferred. Proficiency with social media platforms and innovative software products is also preferred.
Key Responsibilities
Database and Gift Entry (Raiser’s Edge)
Accurately enter and process all philanthropic gifts, pledges, recurring donations, and planned gifts in a timely manner.
Generate acknowledgment letters and tax receipts for all contributions; produce detailed transmittals for reconciliation with the Business Office.
Maintain donor records, including address changes and other biographical/professional updates, to ensure accuracy and consistency across the database.
Create and run regular and ad-hoc reports to support fundraising, stewardship, and prospect management efforts.
Handle Give Campus on Giving Day.
Maintain fluency in Raiser’s Edge and related platforms, including Online Express, GiveCampus, and event modules.
Administrative and Event Support
Manage event-related data, including guest lists, RSVPs, attendance tracking, and post-event follow-up in the donor database.
Coordinate production of nametags, printed materials, and event briefings; provide on-site logistical support to ensure a smooth and welcoming experience for guests.
In consultation with campus partners, assist with school events for current parents and Parents’ Association activity.
Execute targeted mailings to support events, fundraising appeals, stewardship, and relationship-building communications.
Track and maintain inventory of office and event supplies, reordering as necessary.
Monitor and reconcile Advancement budgets and expenses in collaboration with the Chief Advancement Officer; assist with event-related budgeting and expense reporting.
Team and Special Project Support
Provide administrative and logistical support to the Chief Advancement Officer and Advancement team, contributing to a wide range of projects and initiatives across fundraising, communications, and events.
Physical Requirements and Work Environment
Works at a desk and in front of a computer screen for extended periods.
Works primarily in a traditional climate-controlled office environment.
Newton Country Day's campus consists of multiple buildings and outdoor spaces connected by external walkways and stairs.
This position requires moving between these areas in all weather conditions.
Other duties as assigned. It is a 12-month position, and some evenings/weekends are required.
