Pingree School is seeking a dynamic and strategic Associate Director of Donor Relations and Stewardship to begin work in July 2025. This full-time (12-month) position will play a critical role in strengthening and supporting the school’s culture of philanthropy. This position is responsible for designing, implementing, and managing a comprehensive stewardship program that meaningfully engages and recognizes donors at all levels, with a special focus on major and leadership gifts. The Associate Director will work closely with colleagues across departments to build strong donor relationships, communicate the impact of giving, and ensure thoughtful donor recognition in alignment with the school’s mission and values. Additionally, this position will oversee corporate and foundation relations for the Malcolm Coates Prep@Pingree Program.
Primary responsibilities include but are not limited to the following:
Donor Relations and Stewardship:
Develop and manage a robust stewardship program that acknowledges, thanks, and engages donors through personalized communication, reporting, and experiences.
Create and implement stewardship strategies for major gift donors, planned gift donors, and leadership annual donors.
Collaborate with the frontline fundraising team to prepare tailored stewardship reports, impact stories, and donor spotlights.
Oversee the production of annual stewardship materials such as donor reports, endowment reports, and special acknowledgments.
Coordinate Campaign naming opportunities and gift recognition policies, including plaques, signage, and donor walls.
Ensure timely and accurate gift acknowledgments, including personalized thank-you letters from leadership and students when appropriate.
Serve as a thought partner to the Advancement team in creating a best-in-class donor experience.
Collaboration, Communication, and Events
Partner with the Director of Special Events and the entire Advancement team to plan and execute events, including gratitude events, stewardship lunches, and behind-the-scenes campus experiences.
Collaborate with the Director of Advancement Services to maintain accurate records of donor interactions and stewardship plans in Raiser’s Edge database.
Collaborate with the Communications and Marketing team to create donor-focused content that showcases the impact of philanthropy in digital and print materials.
Track and report on stewardship activity and donor engagement metrics.
Prep@Pingree Corporate & Foundation Relations
Raise approximately $100,000 annually in foundation and corporate support of Prep@Pingree through grant writing and coordinated outreach.
Manage and build upon relationships with existing major foundations, corporate foundation supporters, and prospective funders.
Maintain fundraising calendar by preparing reports and fundraising proposals in a timely and organized manner.
Work with the Business Office to provide financial reports and budgets accompanying proposals.
Work with the Director of Advancement, Prep@Pingree Program Director, and Advisory Board members to develop new relationships with prospective funders.
Spearhead and manage all prospecting and researching efforts of potential corporate and foundation funders, as well as individual donor prospects.
Serve as a member of the Prep@Pingree Advisory Board.
Qualifications and Skills Required for Position:
Bachelor’s degree required.
Five or more years of relevant experience in donor relations, stewardship, fundraising, or related field.
Strong writing, editing, and interpersonal communication skills.
Highly organized, detail-oriented, and able to manage multiple priorities.
Proficiency with donor databases (e.g., Raiser’s Edge, Veracross, Blackbaud).
A collaborative spirit and passion for education and relationship building.
Understanding of and appreciation for the mission of independent schools.
Ability to work independently as well as part of a team;
Demonstrated commitment to diversity, equity and anti-racism work;
Meticulous attention to detail, organizational, project, and time management skills;
A high level of integrity, strong work ethic, and sense of humor.
