Position Summary The Archives/Digital Library Intern will support a range of projects related to both traditional and digital archiving. This hands-on role offers the opportunity to gain experience in areas such as metadata creation, digital repository software, archival research, and the organization and description of photographs, manuscripts, and publications. Interns will work closely with the school’s archivist and gain practical experience in day-to-day archival work.
While academic credit is not required, The Pingry School is happy to support students seeking credit through their academic programs.
We especially encourage graduate students in library science, archival studies, public history, museum studies, or information science to apply.
Responsibilities:
Assist with metadata creation and entry for digital and physical collections.
Conduct research to support archival projects and collections development.
Work with digital repository and content management systems.
Survey, arrange, and describe archival materials, including photographs, manuscripts, and publications.
Help prepare materials for digitization and assist with basic digital imaging tasks.
Participate in general archival maintenance and organizational work as needed.
Minimum Qualifications:
Current student or recent graduate of an ALA-accredited library science, archival studies, or related program.
Interest in digitization and digital libraries.
Strong attention to detail.
Clear written and verbal communication skills.
Ability to collaborate and maintain effective working relationships.
Alignment with Pingry School’s mission, vision, and dedication to DEIB values.
Preferred Qualifications:
Familiarity with Google Workspace (Docs, Sheets, etc.).
Experience with ArchivesSpace or similar archival management tools.
Understanding of metadata standards (e.g., QDC, MODS) and controlled vocabularies (e.g., LCSH, A&AT).
Basic knowledge of digital imaging, editing, and OCR tools.
Coursework or experience in cataloging, metadata creation, or archival description.
Familiarity with archival preservation practices.
Physical Requirements and Work Schedule This position is based on-site and requires the ability to sit or stand for extended periods (3–5 hours) while performing archival tasks. The role may also involve occasional lifting of boxes or materials weighing up to 20 pounds.
The internship is part-time, up to 20 hours per week. Work hours are flexible within the school’s regular operating hours (Monday through Friday, 8:00 a.m. to 4:00 p.m.), to be determined in collaboration with the supervising archivist.
