Founded in 1799, Georgetown Visitation Preparatory School is a Catholic, independent school for young women in grades 9-12, rooted in the Salesian tradition of St. Francis de Sales and St. Jane de Chantal. The Executive Assistant to the President provides administrative support and project oversight for the President, coordinates the activities of the Senior Administrative Team, and serves as the secretary and administrative support to the Board of Directors.
Key Responsibilities:
Actively supports the mission and charism of the School; demonstrates an understanding of and enthusiasm for secondary education, for girls’ education, and for Catholic education
Maintains the President’s calendar, appointments, telephone and written communications in collaboration with Advancement and Communication offices
Provides administrative support to the President, including project management, research, and the development of reports, digital presentations and collateral materials
Prepares President’s budget, credit card expense report, travel and general expense reports
Coordinates the Senior Team meetings and prepares the agenda with input from the Senior Team
Serves as the point of contact and liaison with the Georgetown community
Directs all aspects of Commencement events
Provides administrative support to the Chair of the Board of Directors; assists the President in preparing documents for Board meetings, including the School Life Report
Manages communication between the School and the Board, including email, mailings, and portal postings; maintains Board documents including agendas, minutes, and the policy manual; takes minutes at all Board meetings and posts materials on the Board portal
Serves as staff on various Board of Directors committees including but not limited to Buildings and Grounds and the Campaign Executive committee
Coordinates special events hosted and/or invited by the President including the school-wide faculty and staff holiday party
Ensures that Board and Board committee meetings are scheduled with the President’s office and the Facilities department
Member of Senior Administrative Team
Will be required to work some evenings and/or extended hours
Minimum of five years of leadership or executive administrative experience in an educational or non-profit organization; experience in a Catholic organization preferred
Excellent organizational skills, excellent written and oral communication skills, proficient in internet, database, and word-processing, presentation, and publishing programs
Work Location
The Executive Assistant to the President is a full-time, 12-month, exempt position and is expected to work on campus Monday through Friday with occasional availability for school-related and Board of Directors related events on some evenings.
