POSITION SUMMARY: The Upper School Admissions Associate & Athletics Liaison plays a key role in advancing the school’s mission through strategic enrollment management. The admissions staff works to fully enroll students while maintaining class compositions that demonstrate cultural, geographic, economic, gender, religious, racial and ethnic diversity. In addition to supporting all aspects of Upper School admission, this individual serves as the primary connection between the Admissions Office and the Athletics Department. The position ensures strong communication, coordination, and collaboration between athletic staff, coaches, and prospective families. The successful candidate will be an articulate communicator, detail-oriented organizer, and relational professional who understands the intersection of academics, character development, and athletics within an independent school setting. The position will report to the Upper School and Boarding Admissions Associate.
ADMISSIONS RESPONSIBILITIES
Serve as a member of the Upper School Admissions team, guiding prospective families through all phases of the admission process—from inquiry to enrollment.
Conduct student and family interviews, review applications, and participate in admission committee deliberations.
Represent the school at fairs, open houses, and events both on- and off-campus.
Travel in the Greater Portland Area, with potential for occasional travel around the U.S. and internationally (up to 2-5 weeks of overnight travel per year)
Collaborate with faculty, students, and current parents to facilitate campus visits, shadow days, and admission events.
Manage portions of the admission database, ensuring accurate and timely data entry, communication tracking, and reporting.
Support yield initiatives and onboarding of new students and families.
Serve as the primary point of contact between the Office of Admissions and the Athletics Department.
Coordinate with the Athletics Department and coaches to identify athletic program needs and prospective student-athletes who align with the school’s mission, values, and academic expectations.
Communicate effectively with prospective and continuing Middle School and Upper School students and their parents, coaches, and staff
Build and maintain relationships with feeder schools, club coaches, and community partners to identify potential student-athletes.
Coordinate with coaches to identify athletic program needs and prospective student-athletes who align with the school’s mission, values, and academic expectations
Communicate clearly with families of student-athletes about the admissions process, financial aid, and athletic eligibility.
Maintain and manage a database of athletic prospects; track communication, applications, and enrollment metrics.
Set recruitment goals and monitor progress toward enrollment targets with the Upper School Admissions Associate in collaboration with the Assistant Head of School for Strategic Enrollment and the Associate Athletic Director.
Support on-campus and off-campus recruitment events, with a focus on increasing opportunities for engagement for prospective student-athletes
Provide regular updates and reports to Admissions and Athletics leadership regarding recruitment pipelines and outcomes.
Represent the school at athletic and admissions events to promote academic, athletic, and co-curricular opportunities.
Ensure compliance with league and school standards in all recruitment practices.
Work with the Associate Athletic Director to build and maintain parent and student-athlete ambassador programs to support recruiting efforts.

Quality and quantity of engagement with prospective students and families.
Effectiveness of collaboration with internal constituents, including but not limited to Athletics, Academic Divisions, Residential Life, and Student Support.
Timeliness and accuracy of data entry, follow-ups, and reports.
Quality of service as reflected in feedback from families, coaches, and administrators.
Contribution to enrollment goals.
EDUCATION and/or EXPERIENCE
Bachelor’s degree or equivalent combination of training and experience
Two to five years of experience in independent school admissions, college admissions, or athletic recruiting and/or coaching
QUALIFICATIONS
Proficiency with Student Information Systems (SIS) and/or Client Relations Management systems (CRMs) and standard office software.
Excellent written, verbal, and interpersonal communication skills.
Strong understanding of independent school culture and the role of athletics in holistic student development
Reasoning Ability
Demonstrated ability to work collaboratively and maintain strong relationships across departments
High level of professionalism, discretion, and integrity in handling sensitive or confidential information
