The Harley School is seeking an energetic and highly organized Upper School Administrative Assistant to begin as soon as possible. In this vital role, you will serve as the primary point of contact for students, parents, faculty, and visitors, ensuring smooth daily operations within the upper school division. Your proactive approach and exceptional organizational skills will help foster a welcoming environment while managing administrative tasks efficiently. This paid position offers an exciting opportunity to contribute to a vibrant academic community and support the success of our students and staff.
Essential Functions: The Upper School administrative assistant supports the Upper School Head in the daily functions of the school. Daily responsibilities include, but are not limited to:
Providing administrative support to ensure efficient school and divisional operations for a safe and effective learning environment;
Coordinate and support student field trips, including overnight trips;
Supporting community needs as a resource via friendly, efficient, and knowledgeable interpersonal communication in person, by phone, and by email;
Managing information and calendar resources for the Upper School Head and faculty;
Preparing Upper School faculty meetings and taking detailed minutes for an accurate historical record;
Coordinating and supporting substitute teacher staff;
Working closely with and supporting other administrative staff;
Managing daily attendance reports and records;
Contact parents/guardians when needed to determine attendance;
Managing and communicating about late arrivals and student early dismissals;
Presenting a positive and professional image for the Upper School.

Qualifications: The ideal candidate is highly organized and collaborative, enjoys working with Upper School students, and has a respectful, approachable, and professional manner. Experience working in school and office administration support positions is highly preferable, but not a requirement.

The compensation range for this position is $19-27/hr, depending on experience and includes medical benefits.
