OVERVIEW
Brooklyn Friends School (BFS), a thriving Preschool-12 grade school located in vibrant Downtown Brooklyn, seeks an Enrollment Office Manager within a dynamic community of colleagues (BFS uses the all-inclusive term, colleagues, to refer to all rather than one that delineates faculty/staff). Founded in 1867, Brooklyn Friends School’s pillars of social justice, service learning/civic engagement, and Quakerism, serve as guideposts for our action-oriented collective work. THE POSITION
The Enrollment Office Manager is an adept project manager and team player who will work closely with the Enrollment Office to manage daily operations, and will run point on the myriad of events which are central to the enrollment and admissions process at Brooklyn Friends School. This individual will collaborate across many departments of Brooklyn Friends School to share the story and spirit of the school. As an active member of the Enrollment team, the Manager will assure the day-to-day operations of the Enrollment office run smoothly and efficiently. The Manager will assume event management responsibilities for the Enrollment Office, will be a key member of the event operations team to ensure school events have a cohesive vision and are planned, communicated, and executed in a mission-aligned manner. This position reports to the Director of Enrollment Management.
Enrollment Office Responsibilities:
- Warmly serves as the first point of contact for all enrollment inquiries at BFS, including visitors to campus, email communication, and phone calls
- Supporting annual enrollment goals in a mission-centered manner, with a keen understanding of the BFS core values of diversity and community
- Manage, schedule, and communications for key enrollment points of connection, including tours, interviews, student visits, assessments, open houses, and other enrollment events
- Assist with planning, orchestrating, and implementing admission and retention events
- Process, record, and track all applications
- Maintain and update the admissions, retention, and enrollment databases, ensuring all records are up-to-date and accurate
- Generate reports for the enrollment team and leadership team as needed
- Occasionally interviewing and touring prospective families
Event Responsibilities:
- The Enrollment Office Manager will coordinate all Enrollment Office events throughout the year, including open houses, prospective parent events, yield and retention events, and new family welcome events. Key event responsibilities include:
- Working with the operational team (tech, facilities, maintenance, food services, etc.) to ensure enrollment events are scheduled, staffed, and resourced appropriately.
- Create, coordinate, and disseminate enrollment and admission event communications in a strategic and timely manner
- Track RSVPs, prepare name tags, and communicate to colleagues and guests appropriately
- Manage vendors, contracts, equipment rentals and other key resources and materials necessary for enrollment and admission events
- Occasionally, support and liaise with other departments with all-school events to ensure they are orchestrated and executed smoothly. Doing so will involve working closely with the hosting department or division, as well as the events operations team and school event supervisor.
- Investigate, imagine, and implement event systems and processes for successful event planning and execution.
Qualifications and Characteristics Sought:
- Excellent written and verbal communication, with an ability to authentically and enthusiastically communicate the BFS mission and story to prospective families
- Demonstrated project management skills, with particular expertise in managing multiple workflows simultaneously.
- Outstanding organizational skills with careful attention to detail and accuracy
- Systems-thinker who has an appreciation and appetite for assessing and reimagining school systems which optimize workflow and communication channels.
- An appreciation for the ideals of Quaker philosophy and Brooklyn Friends School’s mission, and the nuances of a Quaker independent school. Comfort with and desire to learn more about Quaker values and decision-making practices
- Strong work ethic and initiative in understanding all-school dynamics and proactively responding to a fast-paced environment
- Respect for confidentiality and handles sensitive information with discretion and integrity
- Ability to navigate open, productive, and challenging conversations which punctuate our insistence and focus on partnering with those within and outside of our community with an uncompromisable, inclusive and antiracist construct of advancement, alumni relations, and community engagement work
- Willingness to work some weekends and evenings for events
- Familiarity with Ravenna, Blackbaud and Senior Systems preferred.
- A dedicated life-long learner
- 3-5 years of experience in enrollment, admissions and/or event planning preferred
- Bachelor’s degree required
