At Town, salaries are one component of a compensation package that includes retirement matching, daily lunch, health & dental insurance, and life, AD & LTD insurance. The anticipated annual base salary range the school reasonably expects to pay candidates for the Full-Time Administrative Assistant to Division Heads is $65,000-$80,000, depending on factors such as years of experience. In addition to those factors, we believe in the importance of pay equity and consider internal equity with our current employees as part of any final offer.

Position Description:
Town School for Boys seeks a permanent, full-time Administrative Assistant to the Lower and Upper School Division Heads to commence 1st August, 2024. We seek a self-starter who is flexible, supportive of the school’s mission and vision, and able to adapt to a dynamic school environment. The ideal candidate will maintain a positive outlook and be a highly organized, excellent problem solver who is comfortable with Google Apps and database software. A high level of discretion with confidential information is essential. The successful applicant must be able to prioritize effectively and work well both independently and as a member of a larger team supporting school-wide initiatives. An affection for children is a plus!

Duties include:
• Processing division heads' budgets and related paperwork
• Supporting all faculty and staff in utilizing the Portal (web-based database), and other organizational systems.
• Managing the Division Heads' Google calendars
•Communicating with a wide variety of people; teachers, students, parents, staff members, outside vendors.
•Collaborating with stakeholders across the school to schedule meetings, agendas
• Generating special schedules for educational and Holiday events
• Arranging logistics and refreshments for meetings and events
•Managing event logistics for major events/projects such as Parents' Nights, Standardized Testing mailings, Picture Day, Parent Coffees, and more
•Managing/coordinating job postings, applications, and interviews
•Coordinating substitutes and coverage as needed
•Assisting division heads with collecting, reading, and editing report card
•Meeting with division heads regularly
•Performing general office administrative duties
•Providing occasional administrative support to the Director of Teacher Development & Strategic Initiatives and the Director of Teaching, Learning, and Innovation as needed.
Qualifications:
• Enthusiastic and team-oriented with a collaborative working style
• Highly organized with the ability to create a timeline for successful completion of projects
• Excellent oral and written communication skills
• Ability to prioritize and remain calm and kind under pressure
• Ability to hold sensitive information in confidence.
• Willingness to problem solve and seek assistance when appropriate
• Attentive to detail, punctual, and able to effectively satisfy competing priorities
• Computer savvy with Google apps and databases
• Aptitude and willingness to learn in-house database – Blackbaud K-12, Class Creator
Desirable Background:
• Bachelor’s degree
• 3-5 years of administrative experience
• Prior work experience in a school or youth-oriented setting
