Job Summary:
The Academic Testing and Operations Coordinator plays a crucial role in overseeing and executing a broad range of standardized testing programs at ‘Iolani School. This role is responsible for facilitating tests such as the SAT, ACT, SSAT, PSAT, American Mathematics Competition, National Economics Challenge, ERB, and AP Examinations. Ensures a standardized, secure, and equitable testing environment for all students. Additionally, this role helps support MBS and digital textbook management and coordinates substitute teaching coverage in our Upper School.
Essential Responsibilities:
Academic Testing Responsibilities
Test Center Management:
Initiate and manage the setup of the test center to ensure operational readiness for each examination.
Maintain an organized and secure testing environment adhering to the specific guidelines of each standardized test.
Testing Proctors Oversight:
Recruit, train, and supervise testing proctors to ensure adherence to testing protocols.
Coordinate with testing proctors for the setup and management of testing materials and equipment.
Ensure all testing accommodations for students are adhered to in accordance with specific educational plans.
Materials Management:
Order and manage all necessary testing materials, including digital exams.
Ensure timely and accurate distribution of test materials to students and testing proctors.
Test Day Operations:
Oversee student check-in and verify identification to maintain test security.
Address and report any test day issues or concerns promptly.
Ensure all testing materials are returned and secured post-examination.
Score Reporting:
Facilitate and monitor the process of score reporting for each examination.
Liaise with appropriate bodies for score distribution and inquiry handling.
Additional Responsibilities
MBS and Digital Textbook Management:
Support MBS and digital textbook management efforts.
Liaise with MBS and internal parties to facilitate access and address troubleshooting.
Substitute Teacher Coordination:
Assist in facilitating and coordinating substitute teacher coverage for the Upper School.
Minimum Qualifications:
Bachelor’s degree in education, psychology, or related field.
Minimum 2 years of related experience in an educational setting, overseeing a testing program or testing facility.
Posses all College Board and ETS requirements to serve as Test Center Coordinator.
Ability to work collaboratively with students, staff, and parents.
Strong organizational and time-management skills.
A strong work ethic, team player, ability to adhere to the confidential nature of the work
Ability to manage multiple tasks and meet deadlines.
Excellent communication and interpersonal skills.
Strong word processing skills with MS Word/Google Sheets and/or MS Excel/Google docs.
Physical Requirements and Work Conditions:
Extended periods of sitting, walking, and/or standing.
Ability to see and hear with or without correction.
Ability to lift, carry, reach overhead above shoulders, push and/or pull objects that weigh up to 10 pounds.
Work is generally performed Monday through Friday during normal business hours; however, evening and weekend hours are often required to meet responsibilities.
Due to work in close proximity to children, the selected candidate must undergo fingerprint background check and submit proof of TB clearance required. This role may require working outside of regular school hours during testing periods.
Physical presence at the test center is required on test days.
