Ethical Culture Fieldston School is a progressive PreK-12 independent school that has been serving students from throughout New York City and the surrounding suburbs since 1878. ECFS offers a rich curriculum in the arts, sciences, and humanities. A co-ed, nonsectarian school, it serves a diverse community of about 1,700 students on two campuses -- one in the Riverdale section of the Bronx, and the other in Manhattan. The Upper School, located in the Bronx, is comprised of approximately 600 students and 80 faculty members.

Role Summary
We are seeking an experienced Administrative Assistant to two Assistant Principals (APs) for its front office to join the Assistant to the US Principal in maintaining a welcoming and collaborative office environment for faculty, students, and parents. The ideal candidate will have a friendly disposition, exceptional organizational skills, attention to detail, a proven record of working collaboratively with others, the ability to maintain the confidentiality of sensitive information, and excellent verbal and written communication skills.
Responsibilities
General Administrative Duties:
- Assist with event planning by making space reservations, ordering technology setup, catering, and facilities setup;
- Record daily faculty/staff attendance;
- Oversee scheduling and reservation of school spaces;
- Assist with various HR and financial administrative functions (i.e. process purchase orders, expense reimbursements and payment requests, initiate payroll authorization forms etc.)
- Assist faculty with trip funds and deposits;
- Order food for student/faculty meetings;
- Collaborate with other members of the school front office staff as well as faculty and staff throughout the division and at ECFS;
Specific Academic and Student Life Support Responsibilities:
- Assist the Assistant Principals with various administrative and clerical functions for both academic and student life functions.
- Maintain APs working calendars;
- Organize auditorium seating and locker assignments;
- Work on Course of Studies yearly update;
- Help to coordinate placement process for incoming Form III students (9th grade);
- Arrange coverage of classes on a daily basis. Regularly communicate with proctors and substitute teachers;
- Assist with yearly special events (ALP, Community Day, MAD etc.)
- Create interview schedules for candidates;
- Maintain test calendar;
- Take meeting minutes.
Requirements
- Bachelor’s degree is strongly preferred.
- Excellent written and verbal communication skills.
- Well-developed interpersonal, collaborative, and relationship skills.
- Proficient with technology, including various data systems, Google platform and apps.
- Must be an energetic self-starter with strong organizational skills and the ability to prioritize and juggle multiple tasks.
- High level of flexibility and the willingness to do various levels of work as required.
- Ability to maintain confidentiality.
- Good judgment and problem-solving skills.
- Must relate to and enjoy being with students.
- Minimum of 5 years of proven experience with office administration—in a school setting preferred.
