The Office Coordinator is responsible for assisting in the daily operations of the building and main office. This position is a full-time salaried exempt position and reports directly to the Head of School.

SHARED OFFICE RESPONSIBILITIES:

• Greet visitors, parents, and students
• Manage security (cameras, entry, doors, etc.)
• Manage phone calls and correspondence with individuals
• Manage specific requests and complaints from individuals 
• Photocopy, fax, and scan documents
• Update the Veracross database as needed
• Send emails/correspondence as needed
• Troubleshoot emergent situations
• Administer general first aid to students
• Maintain care and organization of kitchen and health room

PRINCIPAL RESPONSIBILITIES:

• Maintain office equipment, phone, and surveillance camera systems
• Order and track supplies 
• Oversee building key system, keys, and security system (Monks Security) 
• Schedule and oversee routine maintenance of the facility including annual inspections
• Maintain vendor list
• Organize and distribute mail to and from the school
• Manage time off for employees 
• Maintain student records 
• Review and purge files of exited students
• Update and manage student “school start-up forms” through Veracross(Admin/data coordinator)
• Assist Administrators with the completion of school handbooks and emergency procedures
• Manage student uniforms
• Collaborate with East Penn school nurse to

  • first aid supplies
  • Maintain health records
  • Facilitate CPR certifications and EpiPen training

• Manage transportation with school districts and parents
• Act 372 documentation  
• Field trip busing 
• Coordinate student lunch program and staff lunches
• Organize parent-teacher conferences
• Schedule and update substitute teachers

• Enter Act 48 - Teacher Education Credit hours at PA Dept. of Education(phasing to Assist. head) 

• Perform other duties as assigned by the Head of School or Assistant Head of School

About The Hillside School

The mission of The Hillside School is to maximize the potential of the child with learning disabilities through excellence in education. We opened our doors to 10 students at the Lutheran Church of the Holy Spirit in Emmaus, PA in 1983. We moved to our current seven-acre home in Lower Macungie Township in the Lehigh Valley six years later. Next year we celebrate our 40th Anniversary! Our students are intelligent children who learn differently from their peers. Students may be diagnosed with a language-based learning disability like dyslexia, which affects reading; dysgraphia, affecting writing; dyscalculia, affecting math; Students may also demonstrate difficulty with executive function skills, attention, and focus. Children attend Hillside from kindergarten through eighth grade. We prepare students by teaching them the skills and strategies needed to succeed beyond the halls of Hillside. In the last 35 years, over 1,000 students have successfully transitioned from Hillside to various public, religious, or private schools.
