OVERVIEW
Plan, organize, and oversee school events, primarily for the Development office, from set-up to clean-up. Develop annual plans of engagement for various constituencies throughout the year. Assist individuals in finding pathways of meaningful engagement and volunteerism within the school. Represent the interests of the school and provide an encouraging atmosphere of involvement from various constituencies through events, meetings, and volunteerism. Oversee the volunteer management of the PTAA.

POSITION DETAILS
- Works closely with volunteers to cultivate their interests/talents to foster strong partnerships with the school through volunteerism, support, and engagement.
- Serves as primary contact for school events, including but not limited to: securing space(s), overseeing equipment rental process, setting up and tracking registrations, coordinating food and beverage, attending as school representative, managing volunteers, set-up and breakdown. Work closely with Logistics Coordinator, Facilities, and Housekeeping for school events.
- Attend all PTAA Board meetings.
- Collaborates with the PTAA and Director of Development on the planning and execution of community-building and fundraising events – including but not limited to Grandparents’ and Special Friends Day, Holiday Shoppe, Scholars’ Golf Classic, Fun Fest, Friday Night Lights, CA 101, and any other event in need of school representation or coordination (not Athletics).
- Assists with other Development Office events, activities and initiatives as needed. Performs other projects and duties as assigned
The individual in this position must possess the following knowledge, skills & abilities:
- The knowledge to plan and implement a variety of special events and keep thorough records for future use.
A willingness to work closely with the many facets of the Cary Academy community – especially parent volunteers.
Excellent computer skills with good knowledge of a variety of software packages, including but not limited to Microsoft Office, Blackbaud, Raisers’ Edge.
Excellent problem-solving, organizational, communication, writing and mathematical skills.
Ability to pay attention to detail and be accurate.
Ability to handle a multiple-priority, deadline-oriented work environment.
Ability to handle tasks with interruptions and maintains positive outlook.
Ability and willingness to be a collaborative and supportive member of the Cary Academy team.
The individual in this position is expected to:

Meet the expectation of regular, predictable, and reliable attendance.
Education: Bachelor’s degree in related field.
Experience: Minimum of 5 years’ experience in independent school or event planning.
Equivalency: Directly related experience or a combination of directly related education and experience may be considered in place of the above requirements.
WORK SCHEDULE
Days: In general, this position is scheduled to work on campus Monday through Friday year-round, but is expected to work as necessary to ensure that position responsibilities are consistently met. There may be certain work requirements that could result in a need for temporary modification of this schedule, including scheduled events and activities on week nights and weekends.
Hours: This position is scheduled to work 37.5 hours per week. The actual times worked are determined by the supervisor and may fluctuate given the nature and seasonality of this position and are determined in coordination with the Division manager. Some events and activities may require work outside of normal business hours.
