Position Overview:
The Assistant Director of Admission and Strategic Enrollment serves as a member of the Admission Team and reports to the Director of Admission and Strategic Enrollment. The Assistant Director of Admission and Strategic Enrollment sets the tone for a warm, welcoming, and service-oriented experience for prospective families and supports the School’s efforts to recruit students and families whose personal philosophies and goals align with the School’s mission. Reporting to the Director of Admission and Strategic Enrollment, the Assistant Director of Admission and Strategic Enrollment manages the day-to-day operations of the Admission Department and also assumes responsibility for longer-term projects for the department and the school as a whole.
Essential Job Duties and Responsibilities:
- Support the Director of Admission and Strategic Enrollment in creating a warm, personal and supportive experience for prospective students and families as they participate in the School’s admission process so that the School may successfully enroll mission-fit families and meet targeted enrollment goals.
- Collaborate with the Director of Admission and Strategic Enrollment to organize, co-lead or support, as delegated, all Admission events, including but not limited to open houses, coffees for applicant parents, new family welcomes, campus tours, Kindergarten assessments, and more.
- Coordinate parent volunteers (Welcome Committee) for admission events and school tours.
- Cultivate a strong partnership with the School’s faculty, staff, administration, and trustees.
- Oversee and maintain the Ravenna database, system, and annual systems rollover.
- Create, send, monitor, and track the completion of new enrollment agreements.
- Coordinate prospective student visits on both Lower School and Middle School campuses, including setting dates for prospective student visits for each grade, managing interviewers’ calendars, preparing assessments for teachers, notification of student ambassadors, outreach to applicant parents, communicating with faculty/staff, and organizing prospective student visit feedback and information.
- Coordinate and manage the scheduling of school tours for prospective parents on Ravenna.
- Attend Admission Fairs to help with outreach and marketing efforts.
- Connect with schools in our community to support outreach efforts.
- Monitor admission@keysschool.org and enrollment@keysschool.org email addresses to ensure timely, professional feedback and internal and external communications.
- Prepare Admission Committee support structures and systems, e.g., reading dashboard.
- Support school outreach to socioeconomically diverse families and organizations that support the school’s DEIJ efforts and initiatives.
- Routinely cultivate relationships with administrators at local preschools, elementary, and middle schools and apprise them of the School’s program enhancements.
- Participate in regional associations such as BADA/DASBP in order to be informed of Admission trends and best practices for communication and policy during the admission process.
- Work with the Director of Admission and Strategic Enrollment to evaluate/reflect on the admission process and redesign/reimagine as needed.
- Work with the Director of Admission and Strategic Enrollment to maintain/evaluate admission statistics.
- Support research of local demographics and shifting market trends to support enrollment projections and the School’s market position.
- Ensure the clear communication of the School’s mission, strategic goals, philosophy, and culture to all prospective parents and students.
- Plan and execute prospective student welcome materials.
Duties may also include:
- Support the Director of Admission and Strategic Enrollment in developing and implementing a forward-thinking and strategic Admission and enrollment management program that allows the school to fulfill the mission and meet targeted enrollment goals successfully.
- Ensure the clear communication of the School’s mission, strategic goals, philosophy, and culture to all prospective parents and students.
- Support the positioning and strategic marketing of the School and its programs to attract and retain mission-appropriate students and families.
- Work with the Director of Admission and Strategic Enrollment and Director of Communication to develop compelling online and print communications for outreach to a diverse applicant pool with support from Communications Department.
- Assist Admission interviews process with prospective parents as needed.
- Collaborate with the Business Office to deploy enrollment contracts to new and returning families.
- Prepare and support file reading.
General Responsibilities:
- Support the School’s Admission Office and related processes, ranging from office management to events to communications
- Participate in School-wide events and meetings
- Accept and perform other duties as assigned
Requirements:

- Three to five years of related professional experience; experience in a school setting and Bachelor’s Degree preferred.
- Strong working knowledge of Microsoft Office, presentation software, and communication technologies, including social media, the ability to conduct effective online research, and knowledge of database management. Experience with Ravenna is strongly preferred.
- Occasional availability on nights or weekends.
- Initial and continued criminal background clearance.
- Initial and continued tuberculosis clearance.
- Maintain a valid driver’s license and the ability to transport oneself between two campuses.
- Conversational fluency in Spanish and/or Mandarin, preferred.

While performing the duties of this job, the employee is regularly required to sit; use hands, talk, and hear. The employee is frequently required to reach with hands and arms. On occasion, the employee is required to stand, walk, stoop, kneel, crouch, crawl, jump, hop, skip, and dance.
