Porter-Gaud School is an Episcopal, independent, coeducational day school with 1,650 students in preschool through 12th grade. The Advancement (Foundations) Office has an opening for an Advancement Services Manager to begin as soon as possible.
Reporting to the Director of Advancement Services, the Advancement Services Manager oversees the use and care of Porter-Gaud School’s advancement constituent management database.
Position Responsibilities (include but not limited to):
Oversees the use and upkeep of the constituent management database to ensure integrity and accuracy of information and utilization of robust and consistent protocols
Ensures integrity of constituent data:
Manages annual database changes
Updates constituent records as needed in constituent management software and adjunct applications such as volunteer management systems
Conducts ongoing research to find lost constituents
Conducts ongoing research to find and correct constituents’ current and preferred contact information
Distributes death notices and records constituents and deceased
Maintains accurate paper files to substantiate constituent management data
Enters gifts and produces acknowledgements
Produces annual, monthly and more frequent queries, lists, exports and reports to support the work of the Advancement program
Manages and executes all routine data reporting for benchmarking purposes (NAIS, CASE VSE, INDEX, SAIS, etc.)
Serves as Advancement Office’s liaison with the Business Office:
Generates gift reports
Manages and executes monthly reconciliation
Leads end-of-year reconciliation, including with auditors
In partnership with the Annual Giving Manager:
Queries, exports and prints mail-merged solicitations
Produces annual giving pledge reminders
Organizes and maintains all gift paperwork filing
Generates data and list for the Annual Report
Produces data for and assists in orchestrating mailings
Processes and records event registrations, manages attendee lists and produces name tags
Supports the Director of Advancement in clerical tasks
Collaborates with Advancement staff colleagues to ensure effective development of strong relationships between constituents and the School, education of the constituents about why philanthropic support is necessary and warranted, and communication of the School’s appreciation and impact of contributions made by donors
Partners effectively as needed with the School’s Finance, Admission, Communications and Facilities teams to achieve Advancement and institutional success
Participates in Advancement Committee and other volunteer committee meetings as requested and appropriate
Responsible for replenishing Advancement office supplies to include refreshments for meetings in the Advancement conference room
Position Qualifications
Bachelor’s degree in a relatable field required
Database management experience required; experience with Blackbaud/Raiser’s Edge preferred
