Summary
We are seeking an Advancement Associate to support our well-established and busy advancement department. We are looking for a team member who will be directly responsible for the comprehensive management of databases used for donor communications and gift management. This position reports to the Director of Annual Giving and Alumni/ae/x Relations and works closely with the advancement team, the business team, and school staff to ensure consistent record-keeping, information management, excellent donor relations, and stewardship. The ideal candidate is exceptionally reliable, proactive, resourceful, detail-oriented, demonstrates excellent written and interpersonal communication skills, and is committed to supporting the mission and goals of San Francisco Day School.

Knowledge, skills, and attitudes we are looking for:

Bachelor’s degree preferred or commensurate experience.

At least three years of experience in development and/or sales, preferably in annual fund or major gifts areas.

Extensive database experience and proficiency with Blackbaud’s The Raiser’s Edge is required. Experience with School Auction and Veracross is a plus.

Extensive experience and facility with Google Suite is required.

Time-management skills, the ability to multitask under pressure, creative problem-solving skills, and strong organizational and project management skills.

Perform all functions with a high degree of accuracy and confidentiality.

Excellent written and oral communication skills.

Listen attentively and work effectively with others to support organizational goals.

Demonstrate a positive and productive attitude.

Attend some in-person evenings and weekends per year to help support events.

Ability to work well on multiple, simultaneous projects under pressure with overlapping timelines, and has a successful track record of meeting deadlines.

The individual should be able to shift between working independently and in collaboration with other people/teams. Communication and interpersonal skills are key. Ability to interact effectively with staff, donors, and volunteers.
Comprehensive Management of Donor Databases:
- Manage the operation, maintenance, data integrity, and accuracy for The Raiser’s Edge (RE) constituent database management system and School Auction.

Maintain robust and comprehensive constituent records in RE that reflect our relationship-driven approach to fundraising, track meeting and event notes, and family news. Proactively monitor philanthropic news for information on donor’s giving priorities.

Manage the creation of donor reports. Develop additional reports and lists that are responsive to the needs of the Advancement Office. Proactively manage the reports process and prioritize and accommodate requests for data and reports.
Manage updates to and accuracy of contact and constituent information across communications databases including iContact, Finalsite, Veracross, SchoolPass, DirectorySpot and others as needed.
Gifts Processing and Acknowledgements:
Process all gifts from individuals, corporations, foundations, and organizations received by SF Day and Breakthrough San Francisco, an academic enrichment and college-access program hosted by SF Day.

Generate gift acknowledgment letters, receipts, and pledge reminders in a timely manner.

Manage and coordinate monthly reconciliation and annual audit requests with the Business Office.

Manage requests for information from donors, volunteers, and staff.

Coordinate production and mailing logistics of solicitations and stewardship mailings.
Major Gifts Support & Prospect Research:
- Develop and maintain systems and procedures for effectively tracking pipeline of major gift donors, progress towards goal, and data analysis.
- Conduct prospect research and wealth screening, develop donor profiles.
- Write quarterly donor stewardship reports for all major gift donors and grant-specific reports for donors to all funds.
Working Conditions:
- 90% Indoors, 10% outdoors
- Ability to move around the classroom and playground to attend to individual or small groups of students
- Occasional requirement to lift more than 30 lbs
- Stand for an extended amount of time
