The Assistant Director of Alumni Relations and Development plays a vital role in maintaining strong connections between the school and its alumni and parent communities. This role involves supporting events, communication, and engagement initiatives aimed at fostering and strengthening sustained, meaningful partnerships with alumni, parents of alumni, and parents of current students to enhance involvement and stewardship of the school. The Advancement Department at Germantown Friends School is responsible for all Development, Communications, and Marketing activities, reinforcing and building relationships with a range of audiences, and, ultimately, helping create lifelong connections with the school.
Responsibilities
- Provide administrative assistance to the Alumni Relations and Annual Fund Directors, including scheduling meetings, preparing materials, and coordinating mailing and email logistics.
- Assist in planning, organizing, and executing alumni and parent events
- Assist with regular communication with alumni and parents through various channels, including emails, newsletters, social media, hand-written notes, and updates/content to the school's website.
- In collaboration with communications and marketing, create a repository of highlights of alumni achievements, success stories, and school-related updates.
- Assist with collecting and coordinating Class Notes from Alumni to include in the GFS Bulletin.
- Respond to inquiries from alumni, ensuring prompt and professional communication, and connecting to appropriate staff.
- Support the updating and maintenance of an accurate and comprehensive alumni database, including contact information and relevant updates on alumni accomplishments.
- Help recruit, coordinate, and support alumni, student, and parent volunteers for various school events, career panels, reunion organizing, and inspiring fellow alumni to engage with and give to the School.
- Collaborate with all Advancement team members, as well as colleagues in all departments across campus.
- Assist with coordination and support for fundraising campaigns that involve alumni and parent participation.
- Collect and analyze data related to alumni and parent engagement, event attendance, and communication effectiveness.
- Help gather information to include in regular reports on alumni and parent engagement metrics to inform future strategies.
- Special projects coordination or management as assigned.
Requirements
- Bachelor's degree in communications, marketing, public relations, nonprofit management, or related field (or equivalency in years of professional experience that is directly related or has clearly mappable transferable skills).
- A minimum of 3 years previous professional experience in a related role.
- Excellent writer with experience crafting reports and stories/articles.
- Attention to detail, with excellent organizational capacity.
- Proficiency in using databases, CRM systems, digital communication systems, and Microsoft Office Suite.
- Ability to work collaboratively in a team environment, and independently to complete projects.
- Strong interpersonal skills informing the ability to build relationships with diverse groups of people.
- Flexibility to work evenings and weekends as needed for events.
- Ability to prioritize.
- Capacity to inspire individuals and groups towards action.
- Alignment with the values and mission of GFS.
- Valid driver’s license.
