Administrative Assistant to Admission Office
Laguna Blanca School seeks a highly ethical, poised, polished, articulate individual with excellent interpersonal skills, who is able to communicate effectively with a diverse spectrum of individuals and groups. The successful candidate will be a well-organized, detail-oriented, self-starter who exhibits excellent time management skills, sound judgment, the ability to keep track of and work on multiple projects simultaneously, and have familiarity with event planning. The candidate must be proactive and flexible; demonstrate superior computing skills in Microsoft Word, Excel, and the Internet; and have knowledge of and experience with database software. Knowledge of OnBoard or SchoolAdmin products a plus. This is a non-exempt year-round (12-month) position with health, retirement, and paid vacation benefits. School year hours are 8-5:00 p.m. with occasional evening and weekend work. Special summer hours may be offered by the school. A bachelor’s degree is required.
ADMISSION OFFICE
The admission assistant’s role is to provide administrative and planning support in all matters related to the admission office. This position requires all of the skills and includes all of the responsibilities of an experienced executive secretary, including clerical support; organizational genius; people skills; balance; maturity; a strong work ethic; and the ability to handle multiple, complex, open-ended tasks. The duties of the admission assistant include but are not limited to the following:
- Office
- Skillfully manage the flow of students, parents, visitors, and staff to the admission office with a warm and welcoming manner
- Field a wide range of calls, providing accurate, essential information using professional telephone etiquette
- Retrieve and respond to voicemail and email messages and online inquiries in a timely manner
- Process office mail on a daily basis and coordinate admission office and information packet mailings and correspondence
- Schedule and confirm tours, class visits, interviews, testing and playgroup appointments, and other appointments as needed
- Publish the following week’s tour/visit schedule for the Middle/Upper campuses
- Order lunches for all visiting students through the vendor’s portal
- Make all meeting arrangements and assist with the planning, orchestration, and implementation of all admission office events
- Create applicant and financial aid files
- Process, record, and catalogue all applicant forms as received
- Organize and maintain the office files so that all materials, records, and reports are readily accessible, orderly, and up-to-date
- Maintain all things related to applicant and new student files, including the request for and receipt of cumulative files and transcripts
- Prepare Excel spreadsheets and word files
- Maintain the admission office calendar
- Take minutes at meetings as needed by the admission office
- Track and create list of needed office supplies
- Interact in a positive manner with Laguna colleagues and parent volunteers
- Maintain a pleasant office and personal space
- On occasion and with training, give tours to prospective families
- Assist with social media outreach to prospective families
- Respond to other duties as requested

- Update and maintain inquiry and applicant student and household records in the database
- Record all inquiries, as well as the receipt of all applications and required forms in the database
- Organize and maintain the database so that all records and reports are readily accessible and up-to-date
- Ensure that the status of applicant files is up-to-date and accessible through the database
- Maintain an electronic record of all formal correspondence between the school and inquiries/applicants
- Creation and publication of enrollment contracts and registration forms for newly admitted students
- Testing
- Coordinate ISEE testing both with ERB and on site, as well as placement test examinations
