Léman Manhattan is experiencing growth and is seeking an Executive Assistant that will support our Middle School Head as well as other administrative staff. The ideal candidate should be a positive, collaborative individual who works well in a team and is accessible, approachable, welcoming, able to manage confidential situations with discretion, respect, and sensitivity.
Position Description:
The Executive Assistant position will be supporting the Head of Middle School as well as other administrative staff. This is a highly visible position that will be responsible for calendar management, handling expense reports, booking travel, project management as well as supporting school events. The ideal candidate will have experience in an educational setting and understand the multi-faceted nature of working in a school environment.
Primary Responsibilities:
- Day-to-day management of the middle school office in support of students and faculty
- Manage student lists and schedules.
- Manages supply needs for the upper school, including classroom supplies, photocopying needs.
- Manage facilities requests.
- Manage uniform information, uniform exchange, spirit wear coordination and lost & found logistics.
- Maintain an organized and stocked faculty lounge
- Calendar management and event planning:
- Coordinate school trip logistics and planning
- Act as communication liaison with the school community.
- Track student attendance and communicate with parents and families
- Produce agendas and materials needed for administrative meetings.
- Attend a variety of school-organized social events/functions.
- Will provide confidential, consistent, and professional support to Division Head, faculty, and staff.
- Excellent organizational, writing and editing skills, and an ability to anticipate the needs of the office using independent judgment.
- Compose, type, proof, and edit professional correspondence, memoranda, emails, and other records received and disseminate on time as needed.
- Manages a variety of projects and assignments.
- Ability to create presentations using a variety of presentation resources using PowerPoint, Prezi, Keynote, etc.
Candidate Requirements:
- Excellent verbal and written communications skills
- Strong technical skills, including proficiency in Microsoft Office Suite (Excel, PowerPoint, and Word), Google applications and database management are required?.
- Ability to juggle multiple priorities/projects.
- Demonstrated patience, collaborative, flexible and collegial demeanor with colleagues, students and parents.
- Flexible, team player.
- Discretion and respect for confidential information.
