Position Description:
The Purchasing and Transportation Manager reports to the Assistant Controller and is responsible for centralized purchasing and arranging transportation for field trips and other School-sponsored events for all three campus locations. This position is highly collaborative which requires close work with other School departments and all members of the Business Office team members.
Responsibilities:
Purchasing
- Establish schedules for ordering recurring items on a routine basis
- Initiate open accounts for vendors as needed
- Create a purchase request system for all recurring and specialty purchases
- Maintain accurate records for tracking receipt of purchased items
- Arrange for return and credit for damaged or missing purchased items
- Check purchase requests against department budgets
- Ensure all purchases are made following best practice for pricing, delivery charges, and utilizing discounted purchase programs
- Ensure PA Sales Tax Exemption status remains current
- Work with accounts payable staff to ensure all invoices are received, coded correctly, and submitted for payment
Transportation for Field Trips and School-Sponsored Events
- Work with School Directors regarding approval requests
- Ensure requested transportation is within the total department budgets
- Arrange for the most cost-effective transportation options
- Initiate open accounts for vendors as needed
- Establish good working relationships with outside vendors
- Coordinate with Athletics for use of school-owned transportation before contracting with outside vendors
- Support the employees that are tasked with private and public school bussing
Other Functions
- Backup the accounts payable function when needed
- Assist with all functions of the Business Office when needed
Skills, Qualification, and Experience
- Minimum of three years of purchasing, with accounting experience
- Experience in an education setting preferred
- BA or BS in Business Management or related major preferred
- Knowledge of accounting software, experience with Blackbaud is preferred
- Proficient with word processing software
- Excellent interpersonal and communication skills, both oral and written
- Detail-oriented, organized, and the ability to multi-task and adjust workflow to meet deadlines
- Comfortable in problem solving at a moment’s notice
- Must work well independently and in a team-oriented office
- Ability to maintain strict confidentiality

About the School
Moravian Academy, located in historic Bethlehem, Pennsylvania, is a PK through 12th grade coeducational college preparatory school and the ninth oldest independent school in the United States. Founded in 1742, Moravian Academy is still today a school in motion. After a recent merger with The Swain School, Moravian Academy comprises 900 students and 200 employees. The extensive facilities are located on three campuses which together are the premier choice for independent education in the Lehigh Valley region. - The Downtown Campus for Grades P-8 inside the national historic landmark district that is at the heart of the City of Bethlehem;

Compensation and Benefits
Moravian Academy salaries are competitive and based on years of experience and expertise. The Academy’s retirement plan pays 8% of salary or wages when eligible employees contribute 5% of their salary or wages. Full-time employees are eligible to enroll in the Group Medical and Prescription Healthcare Program offered by the school. The Academy pays up to 70% of the premium. The Academy financially supports the continuing professional development of its faculty and administrators. Tuition remission in the form of need-based aid for tuition at Moravian Academy is available for the children of employees who qualify.
