The Student Life & Attendance and Systems Manager (Systems & Operations) provides essential operational, organizational, and administrative support to the Student Life team, including the Assistant Head for Student Life, Associate for Student Life, and Director of Residential Life. This role ensures the smooth daily functioning of the Student Life Office by managing attendance and accountability systems, coordinating communications, supporting residential life processes, and serving as a consistent, welcoming presence for students, families, and staff.
In addition to daily office management, this position plays a key role in strengthening Student Life systems across campus—improving clarity, consistency, and follow-through across attendance, permissions, whereabouts tracking, documentation, and communication workflows. The ideal candidate is highly organized, student-centered, and energized by building strong systems that help a school community run well.
Key Responsibilities
Attendance & Student Accountability
• Manage daily attendance tracking, including absences, tardies, permissions, early dismissals, and related communication with faculty and families.
• Maintain accurate, up-to-date student records and ensure adherence to school policies.
• Coordinate late check-ins, whereabouts tracking (Orah), and return-to-campus documentation in collaboration with residential life staff.
• Monitor accountability systems (including discipline logs) and support follow-up communications as directed by Student Life leadership.
• Identify recurring trends or breakdowns and share insights with the Student Life team to support proactive planning and student support.
Systems & Operations Oversight (Student Life Infrastructure)
• Serve as a central operational lead for Student Life systems and workflows, ensuring that key functions are clear, consistent, documented, and executed reliably across the team.
• Take ownership of defining and guiding operational practices for core Student Life functions (attendance, permissions, whereabouts, leave requests, travel documentation, communication protocols, and student accountability processes).
• Partner with Student Life leadership to design, test, implement, and refine new workflows—building sustainable systems that reduce confusion, increase follow-through, and strengthen student support.
• Develop and maintain internal tools and resources (templates, checklists, timelines, and step-by-step guides) to support consistent execution across Student Life and Residential Life.
• Support effective system use and adoption (including troubleshooting common issues and ensuring accurate data entry) and help identify opportunities for improvement across platforms and processes.
• Monitor workflow performance over time and recommend refinements based on patterns, volume, and community needs.
Administrative Support
• Provide administrative support to the Assistant Head for Student Life, Associate for Student Life, and Director of Residential Life.
• Support scheduling, meeting coordination, file organization, and general office operations.
• Assist with the preparation and tracking of budgets related to student activities, residential life needs, and Student Life operations.
• Help coordinate recurring Student Life processes and annual cycles to ensure smooth planning and follow-through.
Residential Life Support (Operations & Coordination)
• Serve as an operational partner to the Director of Residential Life by supporting and strengthening systems related to dorm operations, student movement, documentation, and communication.
• Help define and guide residential life operational workflows for key functions such as dorm assignments, leave requests, travel forms, permissions, weekend departures/returns, and student whereabouts.
• Maintain accurate documentation and ensure residential processes are executed consistently and in alignment with school policies and student safety expectations.
• Communicate with dorm heads and residential faculty regarding student whereabouts, weekend logistics, documentation deadlines, and policy reminders.
• Support implementation of new residential life operational practices by developing tools, documentation, and communication plans that make processes clear and easy to follow.
• Assist with logistics for major residential life events (orientation, community weekends, house events, dorm competitions), supporting planning, communication, and execution.
Event & Programming Support
• Partner with the Student Programming Director to support the administrative side of event planning, including room reservations, transportation requests, vendor coordination, rosters, and permission tracking.
• Help manage sign-ups, risk management paperwork, and event communications for weekday and weekend programming.
• Serve as a reliable point of contact for students seeking information about upcoming activities and events.
Student & Family Support
• Serve as the first point of contact in the Student Life Office by warmly greeting students, responding to questions, and directing individuals to appropriate resources.
• Support students with daily needs such as checking in late, submitting permissions, and navigating school systems.
• Communicate clearly and professionally with families regarding attendance, permissions, and student life logistics.
Campus Life Support
• Assist with supervision during high-volume times (morning attendance, end-of-day departures, major school events).
• Support communication and implementation of community norms, residential expectations, and campus safety procedures.
Qualifications:
• Bachelor's degree, Master’s strongly preferred.
• Strong organizational skills and attention to detail; ability to manage multiple priorities in a fast-paced environment.
• Excellent communication skills and a high level of professionalism when working with students, families, and colleagues.
• Comfort working in systems and platforms (attendance tools, databases, shared documentation) with a commitment to accuracy and follow-through.
• Ability to design, document, and improve workflows; enjoys creating clarity and consistency for teams.
• Demonstrated discretion and sound judgment when handling confidential student information.
• Commitment to supporting adolescents and contributing to a positive school community.

Salary Range: $50,000 to $55,000 annually
