Rudolf Steiner School seeks a Part Time Facilities Manager. The position will be 20 hours per week. The Facilities Manager is responsible for the daily operation and coordination of the maintenance and cleaning of school facilities and grounds in order to provide clean, safe, efficient, environmentally healthy, and structurally sound facilities that offer students and staff the best possible atmosphere for meaningful instruction and learning. They will be active in and develop good public relations with the community, student body, administrative and instructional staff, department staff, professional organizations and local industrial and commercial establishments. They ensure that the facilities and equipment are well maintained, and that a preventive maintenance plan is in place. This includes maintenance of record logs for all equipment, accurate records for equipment and other systems. They maintain annual fire reports, pesticide records, storage and archive inventories and organize all architectural drawings.
They manage the internal maintenance staff, external vendors, tradesperson, and make recommendations as to changes needed to maintain the facilities. They have a thorough knowledge of the principles and practices of mechanical and civil engineering and thorough knowledge of modern methods and techniques as applied to construction and facilities maintenance and planning.
DUTIES & RESPONSIBILITIES
Oversee all aspects of campus facilities and operations;
Oversee the maintenance personnel, appropriately prioritizing and assigning routine and ad-hoc work requests;
Serve as a contact person for a wide variety of campus partners to understand and execute workflow related to event management;
Establish and maintain standards of housekeeping, maintenance and repairs, and snow removal, commensurate with the preservation of the property, safety, and the quality of campus life and functional use;
Establish and communicate daily, weekly, monthly, quarterly and annual schedules of facility maintenance and compliance;
Identify, forecast and budget preventive maintenance schedules, and capital improvement initiatives including, but not limited to mechanical system and equipment;
Manage the relationship and contracts with outsourced vendors who provide cleaning services and equipment maintenance;
Collaborate with the Executive Director to plan annual department budgets, regularly review expenditures, and forecast long-term capital improvements;
Coordinate annual capital projects;
Ensure compliance with all NYC DOB and FDNY regulations;
Ensure that all required filings related to the facilities with NYC or NYS governments are made on a timely basis and that all required inspections take place;
Secure Certificates of Fitness related to the building from the FDNY in a timely manner;
Be responsible for the safeguard of maintenance and safety logs for all systems and equipment;
Order and manage the supplies and tools related to maintenance and custodial services;
Carefully track and authorize contractor invoices, maintaining general ledger entries for all project components, and ensure projects remain on budget and on schedule;
Coordinate School’s energy management program & identify opportunities to reduce energy consumption and overall enhance ‘green’ initiatives;
Coordinate composting and proper garbage disposal schedules;
Provide traffic safety monitoring for arrival & dismissal;
Perform additional responsibilities or projects as needed or assigned.
QUALIFICATIONS
Ability to write, analyze, and comprehend complex documents with excellent verbal and written communication;
Ability to handle multiple tasks simultaneously, working efficiently within time constraints and deadlines;
Solid knowledge of computer systems and software including word processing, spreadsheet and data management;
Analytical and problem-solving skills to interpret data and investigate solutions;
Experience in managing a diverse set of responsibilities across several departments;
Ability to work independently and as member of a team;
Exemplary customer service skills;
A high school diploma with a minimum of three years working in an educational setting.
