Rawson Saunders School in Austin, Texas, seeks a highly qualified executive assistant to support the Head of School. The Executive Assistant to the Head of School provides confidential, consistent and professional support to the Head, acting as a liaison between the Head and school community. Possessing excellent organizational, writing and editing skills and an ability to anticipate the needs of the office, the Executive Assistant takes initiative to make the work of HOS more manageable and efficient. This position reports directly to HOS and is responsible for all issues relating to the school as delegated by the HOS. These include, but are not limited to, the following:
Promoting the school’s mission, making it the center of all decisions and actions.
Organizing and reviewing daily priorities for the head of school.
Maintaining HOS’s calendar – scheduling appointments and meetings, marking deadlines, noting events, and preparing daily/weekly agendas.
Requiring meeting agendas from those who have regularly scheduled appointments with HOS and developing a high standard for organization and timeliness.
Managing the faculty and staff Google calendar and maintaining its uniformity.
Screening HOS’s telephone calls, walk-in visits, and general school email inbox.
Maintaining HOS’s office and filing system both physically and digitally.
Providing general clerical duties and administrative support to the school.
Requesting space rentals, maintaining records, and disseminating information for billing.
Preparing board reports and additional materials as well as scheduling monthly meetings for the Board of Trustees. Maintaining the Board of Trustees' archive of materials.
Assisting the Head of School in preparing materials and schedule for the Board of Trustees.
Assisting in editing policy/procedure, employee/parent/student handbooks yearly.
Posting and sourcing candidates for open positions from relevant job boards. (i.e. LinkedIn, Indeed, NAIS, etc.)
Scheduling interviews for candidates with the HOS and other administrators.
Managing new hire onboarding, including creating and sending employment agreements, pre-hire communication, data, and paperwork collection, and welcome meetings.
Compiling and managing employee records (hard and soft copies).
Maintaining and monitoring documentation and tracking of paid time off.
Maintaining a sense of teamwork and a positive tone among school office staff.
Assisting in institutional advancement functions in coordinating various special events.
Assuming responsibility for special research/projects and additional duties for HOS.
Supporting the school and its leadership.
A thorough understanding of executive-level confidentiality.
Excellent organizational, communication, writing, editing, and keyboarding skills.
Ability to adapt in a fast-paced and quickly changing environment.
A proactive attitude and strong creative problem-solving capability.
A patient, calm, flexible, and highly empathetic demeanor.
Proficiency in Microsoft Office, Google Suite, familiarity with database functionality and portal management, and ease in learning to use other software and online resources.
3 to 5 years of prior experience in education or as an executive assistant to a high-level school administrator or corporate executive.
Bachelor’s Degree is preferred.
Physical requirements: Prolonged periods sitting at a desk and working on a computer.
