Position Description
This is a full-time administrative staff position providing high-level organizational and logistical support to both the Assistant Head of School/Lower School Division Head and the Upper School Division Head. Additionally, this role serves as the School’s Registrar maintaining all official academic transcripts and attendance records schoolwide. The Registrar plays a critical role for students applying out to other schools and supports student record keeping, class scheduling, and academic database management. This role requires the highest level of skill in the areas of communication, organization, and collaboration, use of the Blackbaud SIS, and commitment to maintaining strict confidentiality.
Experience and Essential Job Functions:
This Exempt position uses independent judgment and discretion more than 50% of the time in the following administrative and functional areas:
Serves as the liaison between Division Heads and all community members, including faculty, students, parents, and any outside parties. Requires the ability to communicate effectively and interact professionally as a representative of Mirman School and the Division Heads.
Manages both Division Heads’ calendars; provides clerical, scheduling, organizational, and operational support to Division Heads.
In conjunction with the Director of External Relations, manages communications to families via Mailchimp and/or other avenues.
Performs the responsibilities of Registrar and maintains accurate, up-to-date student files.
Creates and maintains report cards and transcripts for all students
Creates and maintains academic schedules and special programming for students under the general supervision of Division Heads.
Assists with updating the Magnus Health system in conjunction with the School Nurse and Administrative Office Manager including the annual collection of student authorization forms and immunization records.
Manages the full Applying-Out process for the Upper School Division Head and Head of School.
Coordinates and collaborates with multiple administrators and faculty on campus events, including Parent-Teacher Conferences, Graduation, Staffulty In-Service, Curriculum Nights, etc.
Supports the coordination of all Outdoor Education trips and field trips with outside vendors, permission slips, etc.
May be required to travel as needed to off campus events.
Works on special projects as assigned by the Division Heads and Head of School.

Working Environment and Physical Demands:
The job is performed in a generally clean and healthy environment, but there may be possible exposure to childhood diseases and illnesses. Exposure to heated/air conditioned and ventilated facilities with average interior dust with occasional exposure to outdoor elements. Exposure to a normal school environment that is usually quiet but sometimes noisy. The physical demands described here are representative of those that must be met by an employee to successfully perform the position responsibilities. Ability to sit, stand, move, communicate, hear and read during normal activities.
Able to use computers and other teaching tools.

Qualifications
BA degree from an accredited college or university
3-5 years of work experience in an academic setting
Tech-savvy and proficient in Google Workspace (Docs, Sheets, Calendar), Microsoft Office Suite, and familiarity with school systems (e.g., Blackbaud, School Pass, Paychex, RAMP) a plus
Culturally competent with a desire to be an engaged community learner
Growth mindset, detail oriented with solid analytical and management skills
Ability to work occasional evenings and weekends, depending on school events and meetings
Excellent written and verbal communication skills
Sense of humor with an ability to work well with all members of the Mirman community
First Aid and CPR training required (training provided if not currently certified)
Valid CA driver license and clear criminal background investigation
Mirman School opened its doors to educate gifted children in 1962. Motivated by a deep love and concern for these children, Dr. and Mrs. Norman J. Mirman began the school with nine pioneering students in their West Los Angeles home. Our Community
Mirman is made up of students and their families, a dedicated and passionate Parent Service League, and a Board of Trustees made up of community leaders. In the Lower School, lead teachers are supported by Associate Teachers in every homeroom, while Upper School teachers specialize in disciplines such as English, science, Latin, Mandarin, History, etc. Dynamic specialists in science, STEM, technology, math, art, music, choir, theatre and more round out the fabric of our faculty. Mirman is also home to a collegial and collaborative group of administrators who work to facilitate the ideal teaching and learning environment.
