Reporting: The President’s Office Associate report directly to the President of Loyola School.
Role: Performing work of a confidential nature, the President’s Office Associate will manage the administrative needs of the President, support the Board of Trustees, serve as Office Manager, liaise with the Parents Association, and assist the Admissions and Advancement efforts during heavy work periods.
Overview of Responsibilities include (but not limited to):
Office Manager/Executive Assistant
Maintain President's appointment schedule by accurately planning and scheduling meetings, conferences, phone calls, and travel;
Serve as the voice of the President’s office; respond to calls/emails and route appropriately;
Provide historical reference by developing and utilizing paper and electronic filing and retrieval systems;
Conduct special projects and research for President (scholarship letters, Christmas cards, etc.) as assigned;
Serve as reception to President’s office: greet guests, organize office area;
Manage the logistics and catering for President’s Office events;
Facilitate communication with faculty, staff, and parents on behalf of President;
Prepare and process request for payments, reconcile budget and bill payment, liaise with Business Office;
Maintain needed office supplies.
Board of Trustees
Ensure smooth operation of Board relations by fielding inquiries and requests for assistance from Board members, coordinating quarterly meetings and regular communications and maintaining excellent records of minutes and resolutions;
Attend, help coordinate, and take minutes at all board meetings and some committee meetings;
Prepare meeting materials to ensure that the agenda items and reports are organized and emailed on a timely basis, and that attendees are notified in advance as required in the by-laws;
Plan all aspects of the Board of Trustees and Executive Committee meetings with respect to facilities, equipment, catering, logistical requirements, and other related issues as directed by the President and Board Chair;
Assure updated and accurate Board and Committee directories.
Parents Association Liaison
Serve as the link between the President and PA President and officers, as well as communicate within school for the PA. Attend all PA meetings;
Anticipate need of and provide support to the PA President and event chairs with logistics. Help in notification of meetings and events;
Point person for PA communications including emails and letters;
Coordinate with Facilities Manager/others to ensure logistics on PA events.
Other tasks, duties and projects may be assigned, including assisting other offices during peak periods, i.e., Information Sessions, admissions data input and management, Auction data and event assistance, Golf Outing data and event assistance; and other school events.
Status:
Exempt; not overtime eligible. This position occasionally requires extra hours as well as attendance at many School held events and/or meetings.
Typical Level of Interaction:
Requires interaction with all School departments in addition to students, families, alumni and Board of Trustee members

There is the possibility to work one day from home weekly at the supervisor’s discretion. Occasionally, this position will require planned extra hours to provide evening or weekend event support.
Compensation Range: $65,000-$90,000 annually, plus benefits.

Other Qualifications/Skills required:
Bachelor’s degree required
At least 5 years of administrative support experience
Professional, enthusiastic, confident self-starter with a sense of humor
Excellent communications skills both oral and written with an ability to follow up on issues, including those of a delicate nature
Strong organizational skills and the ability to prioritize and manage multiple tasks that are time sensitive
Possess an attitude that is highly customer service oriented to support all of the President’s constituents

Proven ability to work independently as well as part of the team.
Technology savvy with demonstrated experience using Microsoft Office, database programs, and experience utilizing technology for greater efficiencies
