About the Position The Phelps School, an independent day/boarding school committed to academic excellence and the holistic development of each student, is seeking an experienced Director of Business to lead and manage the school’s business operations. This leadership role oversees financial management, tuition and fee administration, facility rental payments, and key operational systems. The Director of Business works closely with senior leadership to ensure the school’s financial strength, operational efficiency, and long-term sustainability.
The ideal candidate is detail-oriented, collaborative, and adept at managing complex financial processes in a school or nonprofit environment. Experience with Blackbaud, ADP and FACTS Tuition Management is strongly preferred.
Position Purpose
The Director of Business manages and coordinates all major business operations of the school, including budgeting, financial reporting, human resources administration, payroll, accounts payable/receivable, contract and grant accounting, tuition and fee management, facility rental payments, and oversight of physical school operations.
Key Responsibilities
Financial Management & Reporting
Manage daily financial activities, including overseeing accounting, payroll, and purchasing, and assisting with budget preparation business planning.
Oversee tuition and fee billing, payments, collections, and account reconciliation through FACTS and Blackbaud.
Ensure compliance with school policies and state and federal regulations.
Assist Comptroller in coordination and implementation of internal financial reporting systems, controls, and management information systems, as well as assisting with the annual audit.
Collaborate in the preparation and presentation of financial reports, analyses, and recommendations for school leadership and the Board of Trustees.
Manage cash flow, receipts, accounts receivable, and collection practices to ensure timely and accurate processing.
Operations & Compliance
Oversee facility rental billing and payments.
Develop and maintain systems and processes for accurate and efficient recordkeeping.
Manage employee benefit programs, associated costs, and related compliance.
Human Resources & Administrative Leadership
Administer HR functions including payroll, onboarding, benefits, and policy compliance.
Coordinate EITC/OSTC, contract and grant accounting, reporting, and documentation.
Qualifications
MBA or Bachelor’s degree in business, accounting, finance, or a related field; minimum of five years of relevant experience, preferably in a nonprofit or independent school setting.
Proficiency with Blackbaud, ADP and FACTS Tuition Management or similar financial/tuition platforms.
Strong communication skills and the ability to work effectively with school personnel, parents, students, and external partners.
Demonstrated knowledge of accounting principles, financial policies, and relevant regulatory requirements.
Strategic thinker with the ability to plan creatively and manage multiple priorities.
Skilled supervisor with experience coordinating diverse operational and financial functions.
