The athletic coordinator and the head varsity football coach share leadership responsibilities. They oversee the daily operations of middle and upper school athletic programs and supervise the TMI Episcopal football team. The high school athletic coordinator supports TMI Episcopal's mission by ensuring smooth game-day operations and promoting athletic excellence through managing facilities, staff, and programming. This role includes overseeing official scheduling, all aspects of game management, and collaborating with coaches, facilities, and external partners. The individual will also serve as a role model for student-athletes, foster a culture of academic and athletic achievement, and ensure all athletic activities align with the school’s mission and core values.
Essential Job Duties
Game Day Operations •Coordinate scheduling and confirmation of game officials for all Upper and Middle School athletic events. •Recruit, train, schedule, and supervise scoreboard operators, announcers, and game-day staff. •Assist in managing facility rentals for third-party or external athletic events.
Administrative Coordination: • Collaborate with coaches on season scheduling, compliance, and coordination. • Maintain accurate records of event details, staffing assignments, and facility requirements. • Support transportation scheduling, locker room assignments, and equipment distribution. • Oversee the distribution, collection, and inventory of team uniforms and athletic equipment, ensuring proper care, laundering, and timely returns. • Assist in ordering and maintaining uniforms and equipment stock in collaboration with the Athletic Director and coaches. • Assist in planning, promoting, and coordinating TMI Summer Sports Camps and Athletic Clinics, including staffing, registration, and collaboration with the Advancement and Communications offices.
Program Leadership & Development • Support the Athletic Director with scheduling, event management, and facility coordination. • Mentor and provide operational support for all Upper School and Middle School coaches and teams. • Assist in coordinating team transportation, compliance, and game management. • Recruit and develop mission-appropriate student-athletes and staff who align with TMI’s values. • Foster a strong team culture centered on accountability, character, academic responsibility, and athletic excellence.
Football Program Development • Build and sustain a competitive football program emphasizing student development, team culture, and strategic excellence as the program transitions to the Southwest Preparatory Conference (SPC) in the Fall of 2026. • Coordinate off-season conditioning and pre-season camps with TMI’s full-time Strength and Conditioning Coach. • Supervise all football coaching staff and manage team operations, budgets, and equipment.
Academic Alignment & Student Support • Collaborate with academic faculty and administration to ensure student-athletes maintain good academic standing. • Monitor student-athletes' academic progress, encourage time management skills, and provide mentorship to support a balance between academics and athletics.
Player Development & Coaching • Instruct athletes in rules, techniques, and strategies while promoting sportsmanship and ethical conduct. • Plan and oversee daily practices to enhance individual and team performance. • Manage game-day coordination, including scouting, strategy, and game film analysis. • Encourage athletes to set and achieve personal and team goals with a focus on accountability and growth.
Team Management & Supervision • Supervise athletes during practices, games, and team events. • Organize and oversee team selection, player evaluations, and roster decisions.
Communication & Administration • Establish and maintain effective relationships with student-athletes, parents, faculty, and administration. • Communicate season schedules, weekly updates, and team expectations with families and players. • Maintain accurate records of attendance, team performance, and player statistics. • Report game results and team updates via the TMI Athletics app and other designated platforms.
Community Engagement & Feeder Program Involvement • Actively engage with middle school programs and youth development initiatives to create a pipeline of mission-appropriate student-athletes. • Promote TMI Athletics in the community to attract and retain student-athletes who align with the school’s values. • Participate in school-wide events, prospective student activities, and community service projects to reinforce the role of athletics in holistic student development.
Professional Development • Attend coaching clinics, workshops, and seminars to stay updated with the latest strategies, techniques, and trends. Compliance & Safety • Ensure all coaching activities comply with conference regulations and school policies. • Adhere to school policies regarding athlete eligibility, academic standards, and behavior expectations. • Maintain current First Aid/CPR certification and always prioritize player safety.
Experience/Skills • Prior head coaching experience preferred; coaching experience required. • Demonstrated leadership, communication, and interpersonal skills. • Administrative or athletic leadership experience is strongly preferred. • Knowledge of independent school athletics is advantageous. • Proficiency in video analysis, strength training coordination, and player evaluation. • Expertise in sport-specific conditioning, skill development, and game strategy. • Ability to mentor student-athletes in academic and athletic growth. • Current First Aid/CPR certification required. • Valid Driver’s License required; Class B with Passenger Endorsement preferred for team transport.
Education • Bachelor’s degree required. • Must submit background checks and certifications as required by the school and the Diocese of West Texas.
