 The Quad Preparatory School Facilities Operations Coordinator focuses on maintaining the cleanliness, appearance, and safety standards of the School. You help do whatever tasks are needed to keep the school clean, looking good and functioning properly. 
 &#xa0; 
 When a light bulb needs to be changed, a window unstuck, a soap dispenser filled, a ceiling tile replaced or a coat of paint added, you&#39;re there to pitch in. 
 &#xa0; 
 And of course, your help with cleaning, disinfecting, and sanitizing will be extremely important - and you&#39;ll have all of the equipment to do your job properly and safely. 
 &#xa0; 
 The Facilities Operations Coordinator duties: 
 &#xa0; 
 
 Ensure the cleanliness, tidiness, and safety of all school facilities, including classrooms, hallways, restrooms, and outdoor areas in front of campuses. 
 Perform routine maintenance tasks such as repairing furniture, fixtures, and equipment. 
 Assist with setting up for school events, meetings, and activities. 
 Respond promptly to maintenance requests from staff as appropriate, while being in conversation with supervision. 
 Handle deliveries and shipments, ensuring they are properly distributed to the relevant departments. 
 Keep an inventory of maintenance supplies and equipment, school supplies, and inform the administration of any restocking needs. 
 In an emergency midday situation, if necessary, snow removal and salting during winter months to ensure safe access to the school, cleaning of sidewalks in front of buildings in an unusual circumstance that requires immediate attention. 
 Carry out minor repairs on plumbing, electrical systems where appropriate and as needed. 
 Work closely with the team to plan and execute larger maintenance projects over breaks and summer. 
 
 &#xa0; 
 Upkeep and Handywork 
 &#xa0; 
 
 Complete daily walkthroughs to ensure the facility does not have any hazards or damaged equipment/furniture 
 Replace lightbulbs throughout the campuses as needed 
 Maintain a stocked tool box with all of the standard bolts/screws needed for furniture and equipment 
 Fix holes in walls with plaster/sheetrock 
 Sand, prime, and paint furniture as needed 
 Procure, and install small equipment such as cabinet locks, door sweeps, paper towel dispensers, etc. 
 Let management know when supplies are low so that you always have the supplies you need to do your job correctly 
 
 &#xa0; 
 Porter Duties, Facilities Maintenance/Events Set Up 
 &#xa0; 
 
 Maintenance of bathrooms and other common areas throughout each day - ensure paper is stocked, areas are free of hazards and clean, and sanitizing areas as necessary throughout the day 
 Keep daily records of maintenance clean ups per area 
 Maintain stock of paper towels, toilet paper, and soap in the restrooms for use throughout the day and a backup supply for evening cleaning crew to use 
 Maintain stock of coffee, tea, cups, sugars, stirrers, water, sparkling water, and cookies for the teacher&#8217;s lounge, executive team room, and events 
 Set up events and large meetings as per event host&#8217;s instructions such as for admissions events, parent events, professional development days, board meetings, and other set up 
 Keep current inventory of school supplies 
 Organize various inventories (health related, school supplies, materials for maintaining campuses as examples), assist school staff in finding the supplies they need 
 Help keep the supply closets organized with proper access 
 Ensure all storage rooms, exits, and stairways are clear of obstructions 
 Support lunch and evening event coverage at the security desk as needed 
 
 &#xa0; 
 Packages incoming and outgoing 
 &#xa0; 
 
 Receive and distribute all packages that arrive 
 Assist in sending out mail (package when requested, deliver to post office) 
 Handle deliveries and shipments, make trips to Post Office and track packages when necessary 
 
 
 &#xa0; 
 Vendor Assist (as directed by your supervisor) 
 &#xa0; 
 
 Work with third parties to ensure that the HVAC is running properly 
 May be asked to research third party vendors for emergency maintenance, summer projects, and other projects during breaks that in-house facilities crew cannot handle 
 Receive and inspect detailed estimates, quotes, and invoices to ensure that they are within budget and are quoted as tax exempt. All estimates, quotes, and invoices should be delivered to your supervisor immediately upon receipt.

 OTHER TASKS AS ASSIGNED 
 &#xa0; 
 It is important to note that this list of duties is your guide, and there will always be additional duties that will be assigned to you by your supervisor. You are an important part of the team and you will be called upon to assist in many school projects and tasks.

 Preferred Education and Experience: 
 
 Crisis prevention and intervention training 
 Security License - Candidates who do not already have a security license will be asked to complete a course upon hire.

 Work Environment:&#xa0; 
 This job operates in a school setting. School campuses are located on the 4th floor of one building with an elevator, as well as the ground, fifth, and sixth floors of a separate building with an elevator. This role requires walking to various locations around the school frequently and occasionally traveling between the two campuses, which are approximately two blocks apart. 
 &#xa0; 
 Physical Demands: 
 While performing the duties of this job, the employee is regularly required to talk and listen. This position is active and involves continuous standing, walking, and climbing stairs. The employee must be able to lift and/or move items above or around 100 pounds. Typing is required. During fire drills and other emergencies, the employee, unless physically unable, will need to use the stairs to go to ground level.  Overview of the position:  Friends Academy is a Quaker Independent Day School serving students from Pre School through 12th Grade on a beautiful 65-acre campus. The Director of Facilities is responsible for the&#xa0; comprehensive oversight and strategic management of all campus facilities. This role leads and coordinates&#xa0; the design, planning, construction, maintenance, and modification of buildings, equipment, machinery, and&#xa0; other physical infrastructure. These responsibilities are carried out directly or through the effective supervision of subordinate teams. 
 Essential Duties and Responsibilities : Duties may change, and others may be assigned&#xa0; 
 
  Inspects campus and evaluates use of space and facilities. Plans, budgets, and schedules facilities&#xa0; modifications, including cost estimates, bid sheets, layouts, and construction and acquisition contracts.&#xa0; Performs audits and facility inspections to support facility planning.&#xa0; 
  Develops long-range plans, conceptual designs, and capital outlay requirements and documentation for&#xa0; the campus. Formulates and coordinates program specifications,&#xa0; requirements for proposals and contracts, and associated documents.&#xa0; 
  Acts as liaison to public utility, environmental, and energy agencies. Oversees the development and&#xa0; implementation of utility management and conservation programs.&#xa0;

 Provides direction for all campus and facility operations 
 Ensures effective, constant communication within the school community of all maintenance projects, construction, public safety and related issues. 
 Manages resources for all school real estate assets, including but not limited to utilities, equipment, and personnel. 
 Coordinates all external programming on campus with Facilities and Operations and Campus Safety. 
 Manages all the internal and externally contracted vendors and staff involved in all departments under this role. 
 Oversees the development and implementation of utility management and conservation programs.

 Financial Management 
 
 Develops and manages the annual operating budget as well as capital equipment and project budgets for all departments under this role. 
 Works with design professionals to assist in the preparation of bid documents and specifications for capital and operating projects, and directs and oversees any construction and renovation activities and inventory control. 
 Renews and approves invoices and requests to assure payments are made in accordance with contractual agreements as well as all other equipment and material purchases. 
 Works effectively with local, state, and federal officials with regard to the building and development plan approval process. 
 Works directly with the Chief Financial and Operating Officer to develop long and short term financial plans to address deferred maintenance needs. 
 
 Operational Leadership

 Participates as an active member of the school&#39;s operational leadership team. 
 Attends Board of Trustee meetings when appropriate, is involved in strategic planning and keeping the Board fully apprised of the Academy&#8217;s campus operations.

 Position Qualifications 
 Competencies: 
 
 Knowledge of all phases of physical plant operation, maintenance and repair, planning, scheduling, management and administration of the plant; federal, state, and local regulations. 
 Knowledge and experience with state and local safety, fire, construction, and public access. 
 Must have an understanding of blueprints and building codes. 
 Experience developing cost estimates and budget. 
 Skilled in areas of budgeting and financial administration. 
 Expertise in MS Office products (i.e. Microsoft Word, Excel) and job related technology such as Rev It and AutoCad.

 General management and organizational skills necessary to administer large and diverse departments. 
 Ability to multitask. 
 Excellent problem-solving skills

 Education: 
 A Bachelor&#8217;s degree in management, engineering or related field is required.

 Experience: 
 Five years of head of facility operations including a minimum of two years experience in an educational setting. 
 Preferred Experience: 
 
 Five years of project management experience. 
 Ability to serve as an owner&#8217;s representative. 
 Particular interest in historic buildings.

 Prolonged periods of sitting at a desk and working on a computer.

 Job Description: 
 Portlede is seeking an experienced Grounds Associate to join our Facilities team. Responsibilities will include developing an athletic field maintenance plan ensuring all fields are in top shape, assisting with maintenance-related projects on campus including mail delivery, set up and breakdown of events, general repair and maintenance, and painting. This position must also be available during inclement weather for snow removal and other emergencies as necessary.&#xa0; This is a full-time, 12-month staff position working a schedule of 7:00 AM to 3:30 PM and reporting to the Director of Facilities.&#xa0; 
 Responsibilities: 
 
 Groundskeeping &#38; Outdoor Maintenance 
 
 Mow, trim, weed grounds, and maintain walking paths 
 Clean and maintain tennis courts and common outdoor spaces 
 &#xa0;Perform seasonal landscaping tasks including planting, mulching, snow removal and leaf removal&#xa0; 
 Assist with setup and takedown for outdoor events 
 Snow/ice preparedness and removal - may be outside of general working hours 
 
 General Building Maintenance: 
 
 Assist with school repairs and event setups as required by Director of Facilities including but not limited to painting, fixture replacements, carpentry 
 Assist with basic plumbing and electrical tasks under supervision 
 &#xa0;Monitor and report building maintenance issues or hazards&#xa0; 
 Maintain and organize&#xa0; storage and utility areas&#xa0; 
 Maintain common indoor areas 
 Assist with moving furniture, setting up for indoor events,&#xa0; 
 Work in all areas of facilities repair and maintenance as assigned 
 Ensures that all safety concerns are communicated with urgency and that steps are taken to protect the community from the concern 
 
 
 Qualifications: 
 
 Minimum of two (2) years experience in field maintenance, groundskeeping, landscaping, facility maintenance 
 Advanced knowledge of and ability to assist with a variety of projects such as sod removal, sod installation, irrigation, repair/adjustments, seeding, aeration, etc. 
 Knowledge of and ability to safely use hand tools that are essential to field maintenance such as rakes, tampers, shovels, and specialized tools such as compactions, testers, soil moisture meters, etc.&#xa0; 
 Ability to operate small equipment that is essential to maintaining a safe and enjoyable playing surface such as weed whackers, mowers, and edgers. 
 Knowledge of and ability to safely operate large equipment such as motorized utility vehicles, tractors, skid steers and corresponding attachments and implements routinely used to assist in cultural practices and field renovations. 
 Ability and willingness to work outdoors in various weather conditions
