Talcott Mountain Science Center, Academy, & Research Institute (“Talcott”) is seeking a full-time Administrative Assistant to serve as the critical operational and administrative resource for our leadership team. This role provides a foundational support function that ensures the precision, integrity, and logistical execution necessary for our three divisions—the Science Center, the Academy, and the Research Institute—to thrive.
The Administrative Assistant provides comprehensive, high-level administrative, operational, and database support to a dynamic group of senior leaders, including the Dean of the Academy, the Directors of Science & Innovation/Research Institute, and key program staff. In this critical role, you serve as the primary administrator for our core institutional databases (SIS/CRM), where your precision directly upholds the integrity of all student, program enrollment, and other pertinent records, providing leadership with the accurate, confidential data needed to fulfill our mission. This expertise complements your responsibilities as an administrative & logistical resource, managing complex calendars, preparing executive-level documents, and coordinating high-level needs for major institutional events—from Board of Trustees meetings and STEM Advisory Board sessions to high-impact admissions events—ensuring these vital connections run seamlessly. Furthermore, you will serve as a key organizational communicator, drafting and proofreading high-stakes materials while also providing professional and welcoming front office hospitality, ensuring a seamless and secure first impression for all students, families, vendors, and visitors who arrive on our mountaintop campus. The salary range for this role is between $45,000-$50,000 annually. The ideal candidate approaches administrative work with the same curiosity, critical thinking, and commitment to excellence that we instill in our students. Candidates should possess an Associate's degree or higher along with a minimum of three years of experience in an administrative support role, with a preference for experience within an educational or non-profit setting. This background should be complemented by advanced proficiency with Student Information Systems (SIS) or equivalent CRM/database platforms, alongside exceptional organizational skills and a proven ability to manage multiple priorities simultaneously. Furthermore, the successful candidate must demonstrate the utmost discretion and integrity when handling highly confidential student records, and be adept at supporting multiple supervisors with consistent professionalism and grace.
