St. Paul Academy and Summit School (SPA) is a coeducational, non-sectarian, college preparatory day school serving more than 920 students in kindergarten through grade 12. Our two campuses are located approximately a mile apart in St. Paul, Minnesota, serving Grades K-5 on our Goodrich Campus and Grades 6-12 on our Randolph Campus. Position Begins: October 2025 Status: Full-time, non-exempt Department: Institutional Advancement Salary Range: $45,000- $53,000

Position description:
The Advancement Associate will support the School’s fundraising and engagement activities, which are critical to the School’s fundraising and alumni/ae relations program. This position will interact primarily with staff and faculty but also with alumni/ae, donors, parents of students and volunteers. The position reports to the Director of Institutional Advancement.
Essential Functions and Responsibilities:
Office Administration Responsibilities
Support gift processing activities, gift acknowledgment production, donor records maintenance and other database projects as assigned
Maintain office supplies, stationery supply, business cards, coffee/tea station and overall order and upkeep of Advancement office space
Coordinate mailings for the team
Provide support for fundraising programs and events
Secure meeting spaces and oversee Advancement onsite meetings
Provide administrative support as requested
Events Administration Responsibilities
Set up, monitor and download event registrations and guest lists in Raisers Edge
Export registrations from Raisers Edge and print name tags
Work with on-site catering to develop menus and execute food plans
Work with outside vendors to provide linens, flowers, gifts, and music
Support hosts for onsite and offsite events
Conduct post-event analysis to determine effectiveness
Stewardship and Constituent Relations Administration Responsibilities
Coordinate implementation of stewardship plan for top 200 donors in concert with the Major Gifts team
Record stewardship actions on donor records
Report on annual grants received
Solicit personal stewardship letters from faculty department chairholders
Coordinate special stewardship projects
Perform other duties as assigned by the Director of Institutional Advancement or other Advancement staff
Minimum Qualifications
Minimum college degree
Excellent, accurate computer skills including proficiency with Microsoft Office Suite, especially Excel and Word, as well as Google Suite
Preferred experience using CRM software, preferably Raiser’s Edge
Event coordination experience
Strong written and verbal communication skills and grammar/proofing skills
Strong customer service skills
Comfortable and competent style working with alumni/ae, donors, and volunteers
Ability to manage multiple projects
Strong and demonstrated organizational skills
Display comfort in a fast-paced, results oriented environment.
Requires occasional weekend hours
Enthusiastic and motivated team member.
Candidates should possess effective cross-cultural communication skills and be able to operate effectively in diverse environments and interact successfully with people from widely varying backgrounds in a friendly and professional manner.
