OPEARTIONS MANAGER
Chicago Waldorf School is seeking an Operations Manager to join our team beginning in August. The position is part-time, 30 hours per week in-person. The Facility Manager is a key member of the administrative team, reporting to the Administrative Director (co-Head of School). Their primary role is to manage the day to day operations of the school building.
Specific responsibilities include:
Event Logistical Support
Coordinate set-up and clean-up
Catering and other vendor coordination
Other logistical activities as needed
Assume lead on smaller events
Auditorium Sound, Lighting, and AV Technician
Coordinate and/or run tech for internal and external events
Coordinate training for additional technicians
Reception Support
Manage needs of reception by working closely with daytime receptionist
Act as reception sub as needed and as schedule allows
Work with receptionist to oversee building supply inventory and ordering process; first aid processes, supplies, and accident reports
Lunch Program Support
Coordinate with Advancement Director to ensure alignment with fundraising goals, volunteer cultivation, and community aligned lunch offerings
Coordinate with lunch vendors
Set-up lunch order forms
Maintain lunch packaging supplies
Provide lunch support 3-5 days per week
Lead lunch packaging and distribution as needed
Become certified as food manager
General Facility
Support Building Engineer with projects
Work with Finance Office to help manage facilities budget
Review vendor contracts annually
Maintain health department, and other building department, records including ensuring proper certification
Maintain environmental records
Cleaning company liaison
Arrange additional cleanings as needed, and reduce cleaning as needed
Establish summer cleaning schedule
Coordinate cleaning at auxiliary gym building
Create Building Room Schedule
Liaison to auxiliary gym building
Rental/ Community Event Leader
Identify potential rental opportunities
Work with Marketing Director to create rental webpage with rates
Act as liaison to renters
Onsite as needed for rental or community events
Support Major Building and Capital Projects as needed
Other duties as assigned by the Administrative Director
The ideal candidate will have:
A relevant degree
Facilities / operations experience in a school or non-profit
Superb organizational skills and an ability to juggle multiple projects
High-level collaboration skills to work together with fellow admin, faculty, board members, and parents
Strong problem-solving and analytical skills, with an ability to proactively see and solve issues
Strong communication skills, both written and verbal
An ability to both think big picture and be highly detail oriented
A customer service oriented mindset
The ability to take ownership of a project and run with it while also collaborating
A commitment to becoming a part of the CWS community
A willingness to pick up a piece of trash dropped on the floor, regardless of position or title
Salary/benefits:
Salary range begins at $34,000 annually and is commensurate with experience.
This position is benefits eligible and receives a full menu of benefits including medical, dental, and vision.
Admin staff received paid time off for school holidays/vacations, and a reduced summer schedule.
