Position Summary
The Database & Capital Campaign Manager plays a vital role in supporting the school’s fundraising and advancement efforts. This position is responsible for ensuring the accuracy, integrity, and effective use of donor data within Raiser’s Edge, while also leading the coordination and execution of the school’s capital campaign.
Working closely with the Chief Advancement Officer and Advancement Team, this role bridges data management and fundraising strategy by providing critical insights, tracking progress, and helping drive successful philanthropic outcomes, while also supporting broader Advancement Office initiatives, including alumni and parent engagement efforts, as needed.
Key Responsibilities
Reports To: Chief Advancement Officer
Campaign & Fundraising Operations
Support the execution of the school’s capital campaign, including timelines, tracking, and reporting
Monitor campaign progress and develop clear, actionable reports and dashboards
Coordinate donor communications, solicitation, tracking, and campaign materials
Partner with Advancement leadership to support campaign strategy and donor engagement
Ensure accurate recording and reporting of all campaign gifts and pledges
Help plan and support campaign-related events and donor engagement opportunities
Lead weekly campaign meetings, including agenda development and follow-up on action items
Gift Processing & Donor Stewardship
Accurately process and record all gift types, including cash, stock, matching gifts, pledges, and in-kind contributions
Ensure timely donor acknowledgements (target: within 48 hours)
Manage pledge reminders and follow up on outstanding commitments
Prepare donor giving histories and reports as needed
Donor Research & Prospect Management
Conduct research to identify and evaluate prospective donors, including individuals, corporations, and foundations
Support the development of donor engagement and solicitation strategies
Prepare prospect profiles, briefings, and background materials
Track donor engagement and campaign activity through moves management systems
Database Management & Reporting
Maintain the accuracy and integrity of all donor and constituent data
Perform regular data audits and cleanup to ensure consistency and usability
Generate reports, lists, and analytics for internal teams, leadership, and board reporting
Reconcile fundraising data with internal financial records
Promote best practices in database use and provide training/support to team members
Collaboration & Team Engagement
Work collaboratively with the Advancement Team to support fundraising and engagement goals
Participate in regular team meetings and contribute to overall advancement strategy
Provide data-driven insights to inform decision-making and donor engagement efforts
Partner with colleagues across departments to ensure alignment and data security
Qualifications
Bachelor's degree in a relevant field.
5 years of experience with at least 2 years experience in nonprofit fundraising or sales
Experience with fundraising databases (Raiser’s Edge strongly preferred)
Strong attention to detail and commitment to data accuracy
Experience supporting fundraising or capital campaigns preferred
Excellent organizational, analytical, and communication skills
Ability to manage multiple priorities and meet deadlines
Collaborative mindset with the ability to work across teams
